Skype: voice calls and video conferencing with people on cellphone or laptop with being connected to the internet from anywhere in the world.

Adobe Connect: online meeting with file and screen sharing options, as well as the ability to record and share sessions, and chat with team members during conversation or presentations.

WhatsApp: send and receive messages and voice calls, as well as video calls, images and other media,file sharing and other documents, along with group chat

Google Docs: writing platform that can be shared and live writing can be seen and edited, allowing team members to contribute ideas and knowledge. Easy to use and documents are automatically saved

Dropbox: huge file storage including word documents, photos and videos, allowing team members to access and share saved content from any computer or device with an internet connection.

Microsoft OneNote: tools for drawing, recording audio and video, scanning images, embedding spreadsheets and reviewing the edits of others.

GoToMeeting: easy to create online meetings or video-conference calls with file sharing to the participants

Avoid Conflict in a Virtual Workplace

I’m sure all of you have had some kind of experience working in a team. Nowadays virtual teams are becoming more prevalent in ordinary workplaces. In Fact, we (the team that has created this page) are a virtual team. We’ve been working together for the past 4 months and have had our ups & downs just like everyone else, thankfully we have gotten past it all. So we would like to share tips on how to handle and avoid conflict as a virtual team:

Consistent communication: The first and arguably most important tip about being in a virtual team. There needs to be consistent communication because the team can be severely held back in completing tasks if not all members are present when discussing workload and decisions. Virtual teams are a little trickier in that you do not see your members face to face everyday so the initiative to start and complete work falls on everyone and if there is no communication, nothing will get done. So talk! talk! talk!

Availability: It’s important that in a virtual team there is quick messaging and replied from everyone. Ideas need to be discussed and decisions need to be made before anyone can start on their work. There should be rules set that all members agree upon regarding how long people take to respond. It’s also understood that not everyone may be available at the same time, so speaking in advance to figure out a time when no one is busy can save a lot of frustration in the long run.  **Tip: If something has suddenly come up, Don’t leave your team hanging!! Use that consistent communication to let them know so they aren’t wasting time waiting for you.

Agenda’s/Logs: Extremely important in a virtual team! Sets up all the tasks that need to be done so no one is left scrambling last minute because something was forgotten. Also helps in sharing tasks easily so everyone can see the amount of work that needs to be completed and it is split fairly. It also sets a time frame of what and when something needs to be completed. This all helps the team work much more efficiently as everything is organized.

Participation: A team cannot function if members are not working together. Participation is necessary by all members to ensure that everyone has the same goals and also strengthens the bond between everyone. Some people may be more shy than others, so all teams should work to promote a positive and encouraging environment so that people actually want to participate.

Thomas and Kilmann’s Five Conflict Management Styles:

1. Competing/Forcing: "Might makes right!" o Controls the outcome; insists on his/her own view prevailing o Assertive and uncooperative o A power-oriented position

2. Accommodating: "I don't care much." o Accepts the other's view/neglects own concerns to satisfy the concerns of the other person o Unassertive and uncooperative

3. Avoiding: "I'd rather leave than deal with it now." o Delays or avoids response o Addresses neither own concerns nor those of the other individual o Unassertive and uncooperative

4. Compromising: "We meet halfway!" o Compromise splits the difference between the 2 positions, often seeking a quick middle ground o Moderate on both assertiveness and cooperation

5. Collaborating: " Two heads are better than one." o Assert own views while inviting other's views o Both assertive and cooperative o Attempts to work with the other person to find a solution that fully satisfies both of them o A problem-solving approach
