The Digital Office - When was the last time I kept a paper document.
In all seriousness when was the last time you printed something, or received something to stuff into a file cabinet. I can tell you that I rarely print something unless it’s a contract that I need to sign, or an artwork or design proof that is requested in printed form. I seldom receive paper documents anymore. Anymore most of the documents I receive are all in the form of electronic documents. For the most part everything that starts on a computer stays in a digital file on a resident hard drive, or on a network drive. Really the only time I use paper is when I am sketching, or when I want to test an image on specialty paper.
It’s easy to do
Seriously … it really is easy to do. Paper documents coming in are scanned, OCRd (Optical Character Recognition … It comes with most scanner’s software packages), and stored digitally.
Protecting your Digital Documents
A Trusted Platform Module (TPM) is a device connected to a computer’s motherboard. It encrypts all of the data being processed on your computer, and the data on your hard drive. It is a system designed initially for corporations to secure data on computers and servers. It has steadily been working it’s way down to prosumer and consumer computers. For this to work your computer’s motherboard has to support it.
Encryption is a system that scrambles the data based using an encryption mathematical algorithm and a password. It is a way to secure single files, folders, or entire hard drives of data. There are several encryption programs that can protect your computer like PGP which can protect your files and e-mail. There are several other programs based on PGP, and Open PGP that can protect your files.
External storage is great for keeping files offline. You don’t even need a special drive. You put your files on the drive, and you eject it to keep it offline. Many drives even come with encryption and passkey security. You either enter a code into the drive, tap an NFC card on it’s sensor, or press your thumb to a reader to access the drive. You can even use optical media (even though it is going out of style).
Storing It All
Even though one of the most secured ways to secure files is to store them offline on an external drive, you sometimes need to store them on your computer or a server so you have access to them (see Protecting your Digital Documents). One of the best ways of storing your documents is to use a NAS (Network Attached Storage … basically a large hard drive or hard drives attached to a network using a computer or micro-computer). With a NAS you will still need to secure your files using Encryption software.
Conclusion
Digitizing documents is a simple thing, but the storage side of things can get a little complex. Local versus network storage versus removable storage, and just how much storage you need. For my purposes I have a large expandable NAS for project and active client file storage, removable drives for inactive client file storage, Optical drives for client projects from clients I haven't dealt with in several years, and USB Thumb Drives for private files. I use Open PGP encryption on my private files, and I use whole drive encryption on external drives. It’s really a combination of multiple measures as my needs change. It’s up to you to figure out how you want to store and protect your files.
