When a business needs to buy products or services, the company will usually create and follow a purchase order procedure. The purchase order is a legally binding contract between the buyer and seller. It outlines several important terms, such as the items and quantities purchased, payment terms, delivery dates, shipping information, pricing details and more. The purchase order also provides a paper trail in case of a financial audit or dispute with the vendor.

The document will typically contain the company name, contact information, and a unique PO number that must be clearly visible on the purchase order. It should also include the date, description of the item or service being ordered, price, payment terms, delivery information and an authorized signature.
A purchase order template should look similar to an invoice, with the buyer's information at the top of the page followed by the list of items and their detailed descriptions. For larger companies, the bottom of a purchase order is often formatted in table with product information, quantities, and prices listed in separate columns.
