Why Is It Important To Have RSVP Invitation Cards?
It is always exciting to plan an event and send the invites to the people whom you wish to invite for the same, but getting an estimate as to how many would turn up is a must so that the food, seating, and venue can be decided on the basis of the actual attendance of the invitees. Events like weddings are grand and traditional where one always goes overboard in inviting people but many times it has been observed that so much of wastage happens as the estimated crowd does not come and the host is completely at the loss as it was never ensured to take the guests headcount before the wedding.
Big events where you are doing things on a large scale, it becomes important to know whether the people whom you have invited, are available on those particular dates to attend the function or not. One simple way of knowing this is sending a self-addressed envelope with the invite, where the guest just has to write yes or no, regarding his/her presence at the event. Such cards are known as RSVP Cards. RSVP, a French expression which simply means ‘Respond Please’, can solve the problem and make things smooth for the host.
While sending an RSVP card, one has to remember a few things.
1. The host has to send the invites a little earlier than usual so that the guests get enough time to respond. One can send the invitation at least six to eight weeks before the event and if it is a destination wedding or so, the invitations should be sent all the earlier than otherwise. This is to ensure that the guests can think and plan well according to their schedule.
2. It is very important that RSVP card includes an envelope which is already stamped and has the host’s name and address so that the guests don’t feel lazy or hassled while accepting or declining the invitation.
3. The host must mention a deadline date on the RSVP card so that the guests feel obliged to respond before the date. This way, the host will have cushion time to give a call and ask those guests who still won’t respond.
4. It is important that the RSVP card has appropriate wording for the guests to respond. The host has the choice of providing formal or funny wording on the RSVP cards so that the guests find it interesting and enjoyable to respond. And if the invitation card has the wording which says RSVP Regrets Only, it means that the guests have to respond only in the case of not attending the wedding.
