Let’s cover the basics of wrike where one can structure their workspace, as wrike has four main building blocks such as spaces, folders, projects, and tasks. The first step in organizing the workspace is to set up the space.
Before proceeding forward, let's know what space is. It is a place that unites people, and tools, and set work under a team. Here let's understand with an example - if a person is running an organization, or an enterprise, it will have different departments. Each department puts its data in one place, which makes it difficult to understand which data belongs to which team.
To resolve that, wrike allows you to set up the space by the team, by the client, and by region or whatever works best for the user.
Here, let's begin by adding the new space for the Wrike project management tool. For creating the space, one just needs to click on the plus button in the right top corner and create the space. Or one can use the second option of creating the space by clicking on the plus button where there are multiple templates that can be used by the user.
So, on the left side of the dashboard, one can view various template options and use them according to their industries, like the finance industry, IT, engineering, marketing agency, and marketing team, etc
One can also create a blank space, by clicking on the below create button. Here one needs to give the information like entering the space name, adding the description, and inviting the team member. One can define the access of the team also in Wrike. Users can grant access based on their profiles like the role of an admin, who can manage all settings and access everything in the space
The next option is full in which all user's rights are available. The third option is an editor with the following fourth and fifth options as limited and read-only.
On the left bar of the dashboard, one can define the type of space such as private, public, and locked. There is a personal space as well and it is available to everyone.
Let's discuss the types one by one.
Private space - helps specific team members, departments, users, and groups to organize and manage their work. It is hidden for non-space member
Public - It is available for all teams and all can view the content without becoming the spacing member
Locked - This is a restrictive secure space for confidential collaboration such as board and executive level. It is also hidden from the space members.
One can change the icon and color coding and create the space. Here, one can view in the new dashboard the space that has been created for the wrike online project management tool.
Let's add some structure to the new space and view how the work is categorized. The first step is to create a folder. Click on the plus button, select the folder, and name it. One can define the view and with whom this needs to be shared.
Folders can be used for various types by the project team, but here, let's use folders as a bucket to organize your space.
Let’s add the first digital folder, by clicking on the add button and selecting the project, naming it, and defining the owner. Setting up the date for starting and ending the project. Selecting the type of billing, whether it is billable or non-billable. Check and share the settings with who can view the project and finally just create a folder.
It is simple and easy to distinguish your project. One can see the project created has its own attributes, including status and start and ending date. One can view the two distinguished projects on the left bar of the dashboard.
Wrike has a feature to color code the created folders by different colors to distinguish them.
So, once the project is created, users can create and fill their space with tasks by clicking on the add button and create as many tasks and assign them to the concerned person by inviting them.
Thus making it very clear who is responsible for which tasks by having a glimpse of the wrike project management workspace.
