Reimbursement Management Software: The Backbone of Hassle-Free Workplace Claims
Ever felt the pain of hunting down an expense approval or wondering where your reimbursement claim disappeared? For lots of professionals and businesses, this experience is all too real. From faded receipts to lost emails, manual reimbursement processes are slow, prone to human error, and waste an unnecessary amount of time. That’s where reimbursement management software steps in as a humble two-fisted superhero.
Delete or Void an Expense Claim
You can delete or void an expense claim depending on the status of the claim.
Delete an Expense Claim
If you haven't submitted the expense claim for approval or if it's awaiting approval, you can delete it.
Go to Account, then click Expense Claims.
Click on the Current Claim tab or Awaiting Authorisation tab (depending on its status).
For claims that haven't been submitted, select the check box next to the claim, then click Delete.
For claims awaiting authorisation, click on the expense claim you'd like to delete, then click Delete Expense Claim.
Void an Expense Claim
If an expense claim is awaiting payment, you can void it.
Go to Account, then click Expense Claims.
Click on the Awaiting Payment tab or Archive tab (depending on the status of the claim).
Click the expense claim you'd like to void.
Click Void Expense Claim.
Note: If you need to void a paid expense claim, you'll need to delete the payment from the bank account the claim was paid from, then void the claim.
Expense Claims: Approve an Individual Receipt
Rather than approving the whole claim at once, you can approve or decline each receipt on an expense claim directly from the individual receipt.
Note: To get to the Approve Receipt screen, go to Accounts > Expense Claims > Awaiting Authorisation tab. Click onto a claim that's listed and then into one of the individual receipts that makes up that claim. Your user role will determine whether you are able to approve receipts.
Review Each Receipt on the Expense Claim
If the submitted receipt requires changes, edit it as required using the same fields as for adding a receipt.
Add extra lines to the receipt if you need to spread the amount of the receipt over several accounts by clicking Add a new line.
Approve
This receipt will be included in the amount to be authorised for payment.
Decline
This receipt will not be included in the amount to be authorised for payment. The person submitting the expense claim will see that this receipt has been declined.
Delete
This receipt will be completely removed from the claim and therefore not authorised for payment.
Back
Will return to the expense claim that this receipt appears on without any changes being saved.
History & Notes
View the receipt history or add a note to this receipt using History & Notes.
Archived Expense Claims Tab
All expense claims that have been authorised for the organisation are archived.
Note: To get to the Expense Claims Archive tab, go to Accounts > Expense Claims > Archive tab. Your user role will determine whether you have access to view the Archive tab.
Approved Expense Claims
All expense claims authorised for the organisation are shown with their status and the name of the person that submitted it. Sort the claims as it suits you by clicking on any column heading to sort by that heading.
Drill down into any expense claim on the archived list for further detail. The status of the expense claim will determine whether it can be voided.
Select and view an expense claim.
Select and view a receipt from within an expense claim.
History & Notes
View the expense claim history or add a note to this claim using History & Notes.
