UPDATE (As of 4/1/2017): Paypal is now implementing the option to receive tips from your customers.
If you take commissions and use Paypal for charging your clients, I suggest trying out Paypal Invoice. I started using it and thought it’s a neat and simple way to make transactions.
IMPORTANT NOTE: Setting up a paypal invoice is free, in a sense that you don’t have to pay anything beforehand. However, a small amount will be deducted from your client’s payment because of Paypal fees. This means that you don’t get the payment in full because of the fee.
You can calculate how much the fee is by using this site. Since I’m from Philippines, the fee will be 4.4% + $0.30, which is higher compared to the standard fee in US.
It’s up to you but I suggest that you add this small fee when charging your clients to get the payment in full. I’ll tell you how later.
I also added a little guide on what to do after you receive the payment, so you can stop worrying about shipping issues and tracking info. It’s on the second part down at the bottom.

I. CREATING AN INVOICE
1. Go to the Paypal Invoice page: https://www.paypal.com/invoice/ (bookmark this link for easier access!)
2. Create new invoice
3. Leave the default template. Add your logo if you have one. Edit business info if needed.
4. Skip the Invoice number, Invoice date, and Reference. For Due Date, choose the appropriate date for the payment. (I usually pick “No Due Date”)
5. Enter the email address of your client to be billed. This does not have to be the paypal address.
6. Look along the “Customize” bar and then click “Add/remove detail.” There will be checked boxes by default. Uncheck Tax, Invoice discount, and Shipping. Check Custom amount as you will use this for charging the extra paypal fee.
7. Check if the currency is right. Enter the Item name. Enter the detailed description, if there’s any. Keep your terms vague like “commission”, “illustration”, etc. since unnecessary words might cause you trouble. Below the subtotal, you’ll see additional boxes. This is where you can add the Paypal fee. Calculate the fee (using this) and enter it on the box.
If you allow partial payments, you can check the box beside the “Allow partial payment” option, then enter the amount.
8. You can also add a note to the recipient. You can keep it simple like “Thank you for your business” or add a different message like in my example below.
The terms and conditions is VERY important so better take advantage of this. If you’re a digital artist like me, this is where you can state that you don’t provide any hard copies. IT’S VERY IMPORTANT THAT YOU INDICATE THIS IF YOU’RE ONLY DELIVERING A DIGITAL PIECE. Make this clear in your terms and conditions so that your client can’t complain about not receiving any hard copies of the commission.
9. There’s also an option at the bottom that lets you add memo.
Click on + Add memo to self. This is where you can add some additional reminders or notes. I just use it to indicate that the commission is a digital file and that shipping is not an option.
10. You can choose to preview it first and then review the details. Once you’re done, click the send button!
II. CLIENT IS PAID, WHAT DO I DO NOW?
Don’t panic!! The shipping issue and tracking info can easily be resolved.
Go back to the Paypal Invoice page: https://www.paypal.com/invoice/
You should see a list of the paid invoices. Select one and you should see something like this:
1. Click “View details”
2. Scroll down to the bottom of the page and click “Add Tracking Info”
3. You’ll be taken to another page. Read it and you’ll come across this line:
If the order is for a service or item that doesn’t require shipping or doesn’t have a tracking number, select Order processed.
The next step now is to follow that and mark it as “Order Processed”
After saving it, that transaction should now be fully completed. Just do the same for the rest of the invoices. No more shipping issues whatsoever!!
REMINDER: Don’t ever forget to state in the Terms and Conditions that the commission is a DIGITAL FILE and that there’s no hard copy nor any kind of physical item to be shipped. IT’S VERY IMPORTANT THAT YOU MAKE THIS CLEAR WITH THE BUYER.
You can also add a statement saying that the buyer agrees to the terms and conditions upon sending the payment.
