"no, you." "me?" "ugh") and get old quick. and calling each other their universe codes would probably be too much of a mouthful. do they call each other nicknames like "tasha" and "kid(do)" and "grumps" exclusively? what are the other nicknames ? If someone is looking directly at you, they don't need to address you by name to indicate that they're talking to you. A few extra people might look up if someone just shouts "Hey Tony," but it's usually quickly clear who specifically is being addressed. But there is definitely plenty of "Grumps," "Kiddo," "Sparkles," etc thrown around too, yeah.
In my mind, 616 Tony particularly tends to think of the others as "____ version of Me." In at least one rough draft I have him call Tasha "Babe Me." He also uses abbreviated reality numbers, like calling MCU Tony "Nines" (for Earth-199999).

Making it up as I go along is absolutely my MO when it comes to AUs and storyblogs, lol. I'm glad people enjoy following along, especially since I'm historically Not Great at being collaborative 😅 As for your particular other questions:
This dimension is completely outside of spacetime, and the people who need/want to be in there arrive spontaneously without needing physical transportation. When they return home, no time has passed and they don't remember being away. So no one needs to set up babysitting to attend meetings, since their kids are never actually left alone. That said, they can have a kid along with them if they want. Avengers Campus Morgan Stark tends to tag along with one of her parents to meetings, for example. And I've seen a lot of context-less panels from some comic where 616 Tony has a baby in a chest harness, so he probably leads all his Pan-Reality Meetings that month with said baby still in place. Though it has a visitor's badge since it's not a Tony Stark (I assume?? Haven't read it lol)
I do also have some half-baked jokes about "the kids' table" scattered throughout my various idea documents. There are definitely times when minors get their ears covered or get sent out of rooms when certain topics arise. AvAc Tony has had to point out more than once that he is actually about 19 and not an innocent baby.
A few Tonys would inherently know about Werewolf Steve, like 616, AvAc, and LEGO. Others might find out when one comes bounding into the Tony lobby trying to lick everyone's face 😂

Regarding people appearing in the Summit Dimension: I have a couple "rules" in mind, but sometimes it boils down to "whatever is funniest in the moment."
There might be physical space between character Areas where everyone from everywhere can intermingle, but I hate designing locations so who knows what it's like. The action mostly stays sectioned off to particular people's Areas, in my mind.
You can only get to someone else's Area via the front door of their lobby. Doesn't matter what's outside that door or where someone is coming from; if they intend to visit, they'll appear via the door. So if a Rhodey interrupts a Tony meeting, it's because he walked through the lobby, distracted the receptionist Tony with a holographic Rubik's cube, walked through the restricted door to the hallway beyond, and then walked into the conference room.
But in their own Area, people can sometimes just… appear. Usually they still use the front door, but the dimension will make exceptions. For example, comatose TRN814 Steve is simply already in his chair when the other Steves arrive for their meeting. Unless it's funnier for someone to have to carry him in from the lobby, in which case that happens instead. …yeah, probably that one. Lobby front door opens and he just topples in and faceplants. Chatter in the room stops, and you just hear the "chak chak chak DING shrrruup" of receptionist Steve's typewriter as he marks TRN814 as checked in. Most Steves are hardwired to help though, so he doesn't stay snoozing on the floor for long. Anyway.
No one actively sees anyone else phase into existence. It's always just someone coming from around a corner or through a door, or simply being there when you turn around. Two random Buckys having a conversation in their break room when a third Bucky in Winter Soldier attire steps out of a shadowy corner, scaring the bejesus out of the first two because he definitely was not in there when they arrived. It's all very Loony Tunes.
Like, I have one concept where a Tony is late to a meeting so 616 Tony calls the receptionist Tony to have him paged. The missing Tony then falls from somewhere out of view and lands in a heap in his conference room chair. There's no hole in the ceiling, nor do the other Tonys see him sparkle into existence in midair like a Star Trek transporter. He just got dumped in from the out-of-frame void that no one perceives nor worries about.
I guess the exception would be for characters who naturally teleport. Like Nightcrawlers BAMFing into their conference room just because they can. Or Doctor Stranges using portals for the aesthetic.
Some rambling multiverse lore for this AU (AKA don't quote me on this, it's only true for this self-contained storyblog):
Some realities are close "neighbors" in that they are extremely visually similar, or even started as a single reality that branched apart due to a particular incident. For example, Earth-199999 (MCU) is this type of neighbor to various realities from the "What If…?" Disney+ tv show, to Earth-838 from Doctor Strange 2, and to the "MCU fanfic" style realities that I personally made up (like the one with IronStrange or the one based on Disneyland's Avengers Campus). Maybe "siblings" would be a better word for this type of reality closeness, but I know I've used "neighbors" in this context in the past.
Other realities are "neighbors" in that they are capable of reaching each other directly, even if they seem very different. For example, Earth-12041 (Avengers Assemble & Ultimate Spider-Man) and Earth-TRN456 (an Animal-verse reality that Spider-Man visits in s3e10 of USM). Here's a pic, just because it's cute:
Now, within the Summit Dimension where this blog takes place, anyone can meet anyone, regardless of "neighbor" status. Which is why there is indeed an America Chavez Area, even though MCU America claims that she is the only one of herself to exist in the multiverse. For this AU, her powers only extend to the second type of her reality "neighbors." So she is indeed the only America within the "neighborhood" of realities that the MCU can contact directly. But there are infinitely more realities that are connected to the Summit Dimension. So she and Earth-616 America can hang out there.
I understand what the MCU writers are trying to do, in terms of keeping their multiverse self-contained to realities they personally invent for their movies and shows. But I will Not be stopped from having MCU characters meet their counterparts from other media. 😤
Side note: I am, as always, approaching my thoughts from a movies-first understanding of things. The wikia for 616 America Chavez is melting my brain tbh. 😵💫 I'm just trying to reconcile why some realities might already know each other, and why others might be shocked to discover they exist. Why Tony Stark looks like RDJ in more than one reality, but hardly a majority of them. Etc. Because it interests me, and I care, and there are diagrams in my mind's eye.
so what spawned this pan dimensional board meeting of alternates to begin their series of, well, meetings? in universe, I'm curious to see what brought all the tonys and steves and peters and other avengers all together! :D
I both have and haven't thought about that? Like, there's some extremely vague "lore" that I've been taking as a given, but it's not intentionally based on any specific established Marvel thing. I've just been assuming there is some Higher Authority out there that keeps an eye on the balance of the muti-cosmos, and this Multiverse Summit Dimension has just…. Always been. Superheroes do have a particularly bad habit of crossing dimensions and crashing realities into each other, so these meetings are partly to keep everyone aware of the bigger picture. Or something.
But at the same time, I've also been assuming that what happens in the Summit Dimension, stays in the Summit Dimension. Everyone remembers everything while inside, but when they go home their memories about the meetings are suppressed. Otherwise everyone would be constantly altering the course of their own timelines based on advice from their alternate selves. So I guess that sort of nullifies the concept of the meetings having any kind of purpose in terms of avoiding incursions. Unless it's just like, subconscious manipulation?
Idk. I guess the Higher Authority just thinks bringing everyone together is funny? And we're the Higher Authority? That old meta chestnut. Unless one of you out there has a more intriguing premise.
