Since September my day to day life has consisted mostly of planning for May 6th and hoping that it’d be a success!
As team leader for marketing my main job was to get people through the door and get tickets sold. In the build up the online sales were slow but picked up as we managed to get some print material out. We were incredibly blessed to have the weather on our side for the whole weekend so the build and break of the site was easier than if we had pouring rain. The day before the event consisted of putting up fencing around the site - which was hard in the heat but everyone was very hard working and pulled through to get that up.

The event is happening in just two weeks time from now. Over these few month we were all working hard to get everything ready. Each person was assigned to one area to focus on. But we are all helping each other because eventually it is our joint event. We also have our lecturers that help and keep us going.
This family event is a partnership between Bucks New University and Hearing Dogs for Deaf People. It’ll take place on the charity field in Saunderton starting at 1pm and finishing at 7pm. There will be lots of amazing music, wonderful performances, fairground rides, inflatables for kids and many more.
Like last year people were going to workshop to paint the signs. There were some radio interviews to advertise our event. We were arriving on the field plenty of times to walk around it, measure it, visualise what should be where. We made a presentation for people from the charity to show them our plan for the event. We work on it together and we try to communicate as smooth as it’s possible, what it very important in order to make this event going.
I am in charge of the food traders and I will be managing them on the day of the event. It was not easy to find an appropriate number of diverse services. Eventually I manages to find something for everyone. There will be choices of vegetarian, vegan, gluten free, dairy free, and also halal food to satisfy any kind of hunger. Attendees will be able to enjoy their time eating any kind of meal they want. Little Reds will provide wooden fried pizzas, also halal. Crocus Paella will be serving meaty and vegetarian paellas. Fritto & Via will please us with fish & chips and burgers. Yes Chef will bring their Mexican tacos and burritos. Over The Grill will introduce us to the Caribbean cuisine. Rub BBQ will be selling their jerk pork, chicken wings and halloumi wraps. Happy Crepes will suit us with both savoury and sweet crepes. Walls & Lyle will prepare for us their homemade cakes and muffins, and will be serving refreshing cocktails and Prosecco. Global Catering will be making fresh milkshakes and smoothies. Party On Slushy On will content kids with freshly made popcorn, candy floss, slushes, and halal sweets. There also will be an ice-cream van in the chill our area.
My job was to collect all the paperwork, pitch sizes, arriving times, etc from these traders. I had to provide them all the information about event and sent over the contracts which I received back signed and confirmed. Whenever I don’t know the answer for any question they are asking me about I can always expect help from other people working in my group.
I was also asked to create a site map for the event as I did it last year which wasn’t great in my opinion and because this event is a much bigger deal I wanter it to be quality-wise. Therefore I asked my sister for help as she is an architecture student in Poland so she advised me to use Photoshop and showed me how to operate it. So thanks to her I created it :

There were many changes and difficulties. Although, we managed to face all of them. From now on it’s the matter of accomplishing each section. I can see my colleagues stressing out a little but everyone is working hard at this point and I am sure we will create a great and enjoyable for everyone event.
Beware of trains. They are especially hungry at this time of year and will defend their territory aggressively.
