Benefits of Using SharePoint Views
Just like Microsoft Dynamics CRM and Microsoft Dynamics NAV, premier ERP Software for Small Business enterprises, Microsoft SharePoint too is equally important as far as Document Management is concerned.
There is something known as SharePoint Views. What are these? How does one use them?
To get started, it is very important that one know what SharePoint Views are first. These are said to add another dimension altogether to the organization of one’s SharePoint list and library content. This is so that one can find the right piece of data whenever necessary, without having to rummage into hundreds of items. With the help of Views in Microsoft Dynamics SharePoint, one can use filters and styles to show the information in a variety of ways in lists and libraries. Fact is, there is always a view that remains activated in one’s list or library. Besides, the automatic standard view selected is usually “all items”, and this type of view is the basic display one perhaps is already familiar with.
What are the benefits of using SharePoint Views after going through the process of SharePoint Development?
1. You get to Avoid Data Buildups and Bottlenecks: Even the smallest of businesses at times build up a lot of data and content. Because of such a massive data build-up, you end up spending a lot of time getting it in shape and are tasked with removing more and more of duplicate files and old metadata. Because of this you have to organize early and adopt a system that keeps your content organized and such that it can be found fast. This is where your organizational skills are tested to the core, whether they really are that logical and coherent as they should be.
2. SharePoint Views help access and organize data neatly: You get to filter content in your list or library without feeling the need to create a barrage of folders. This way, you get to see prioritized content organized in a list or library. Folders over here, become little barriers put between data. It is something we all have grown accustomed to, especially on our desktops, where we right click, create new folder, enter name, drag and drop and finish doing. Views also help design customized and specific views, and help make SharePoint a lot more coherent. Apart from having different types of views, filters can also be employed and also styles to display information in lists and libraries.
There are multiple types of SharePoint Views, and some of these have been written about below:
1. Standard View: As the name suggests, this is the view seen first when a list or library gets created. The Standard View can always be considered as the default view and showcases list information in an Excel-like format table with chosen columns alongside such as First Name, Last Name and Date of Birth etc.
2. Calendar View: This view is also a list hidden as a calendar. This means that any list of information can be turned into a calendar, at least as far as the ones which contains dates. End users get to decide the columns they want displayed on the calendar for a day, week, month or year or so.
3. Datasheet View: This view is similar to the Standard View and the only difference is that end users can edit all items in bulk directly on the page in this Excel-type view. A great case would be employee timesheets, and in such cases this proves highly beneficial.
4. Gantt View: This is another view based on dates and time and helps get a view of the number of components at that particular time. This is best for tracking deadlines for invoices and payments coming in, and also for other projects subject to deadlines and progress reports.
