Each project or deliverable gets a header and a folded section. The folded section is for all the minutiae and process points. As I focus my attention on one topic I unfold the list to see only the tasks that will lead me to a completed deliverable. Fold it back up to clear your head, and it’s off to the next thing.

These are a classic work around for my bad mental recall issues. It is so easy to make and are perfect for holding all your thoughts about a certain project, time period, or trip. They are fun and small so they can slide into your shirt pocket no prob. I’ll map a calendar on one page, take notes or lists on another, have room for sketches capturing ideas before they float away. Most often I take these books and synthesize any notes, ideas, or insights into my bigger more formal sketch book. You know, for my biographers in the future.
3. Any.do
There has to be a master list on the cloud these days, right? I have been using any.do for years now and it is a great app with good web interactions. Often this is where I put to-dos or design ideas when they hit in the middle of the night. You can sort them by due date or category and it integrates with your contacts so emailing or calling someone can be as easy as tapping the list item. I also like striking items off the list and having them pile up at the bottom for a real sense of getting shit done.

Step 2- Clean desk, clean mind. I keep only what is necessary and relevant on my desktop.

These live on a post it note until I have a chance to transcribe to a more permanent place, be it a compartmentalized to-do list or a running google doc. They're also really satisfying to crumple up and recycle when you're done with them. I also use digital stickies on my computer desktop to keep frequently used info handy, like office phone numbers, our shipper's address, and copy/paste phrases for email.
Step 4- Post-its get transcribed to a master to-do list. I have a few of these for different departments (either physical or metal). I'll save up questions or discussion topics with one person or group so that I do not interrupt them multiple times throughout the day or week. It helps me to streamline my thoughts, too.
Step 5- Lists get filed with supporting documents.

Step 7- At the end of the day I transcribe my to-do list to a fresh piece of paper. Anything that wasn't accomplished gets carried over to the next day's list. After writing the same thing a few times, it becomes hard to ignore or put off any more. It helps me get things done that I don't want to do, mostly because it's annoying to see them there day after day.
Step 8- I add things to my to-do folder throughout the day. I go through the folder at the end of the day to make sure that everything has been addressed. If it is not urgent, it goes back in there until tomorrow. All to-do lists get filed in my to-do folder for the next day. After going through that folder, I know that I haven't forgotten anything.
Step 9- If anything comes to mind after I've left the studio, I'll write myself an email from my phone, then I don't have to deal with it outside of the office, but it won't slip through the cracks.
Step 10- Not pictured: Boomerang email app, Gmail Meter app, and google calendar reminders all help me stay on top of things. The Meter app particularly helped me get a sense of which email conversations were taking the most of my time, and which days were predicted to be busiest, so I'll avoid scheduling as many meetings those days if I can.
