It’s so very true that some of the funniest stories come out of real life. As the owner of a mystery shopping and video shopping company, I often field questions from our contractors, and one of the most common is about the required Form W-9.
We’ve gone to great lengths to prevent this requirement from surprising anyone and have made it as simple as possible. Contractors can download the blank form, and upload the completed form, simply by logging into their secure profile. When a contractor accepts a mystery shop or video shop, they’ll find this information in the Client Requirements Guide, sometimes referred to as Shop Guidelines. This is, of course, really important if the contractor missed the bold requirement on the registration/login page or the Independent Contractor Agreement (ICA) signed upon registration. If they’ve missed it in all three places, then they cannot help but see it in their online report when completing a shop report, because they must type in, “I Agree” after a final notification of this requirement.
Common questions include: Do I have to submit the W-9, and why do you need it? Our answers are: Yes, if you’d like to be paid for your work, and because we are legally required to furnish a Form 1099 to any contractor who is paid more than $599 in compensation during a calendar year; the Form W-9 facilitates the fulfillment of that requirement. Another common question is: Do I have to declare my income if I didn’t get a 1099? Our answer is, again, yes. While you should always consult a licensed tax professional regarding such matters, it is our understanding that all income is to be declared when filing your taxes, with reimbursements usually counting as income but more often than not also being deducted in the expense column.
A question we’d not yet heard was: Do you really look at these? We thought this was a given, but today, we were proven very wrong by one of our more creative mystery shoppers. As companies race to close out 2015 business, there’s a lot of administrative paperwork to attend to, and as we were in the middle of ours, a hilarious discovery was made. I noticed that one of our shoppers had an accounting hold on a payment for a completed shop and proceeded to attempt to determine the problem so we could assist with resolution. After eliminating all other possibilities, I returned to the shopper’s uploaded W-9 and found the culprit. It appeared that the W-9 had been uploaded to the shopper’s profile, but when I opened it, I saw instead a document of seasonal fruits. Seriously. It’s not completely unheard of for contractors to make an error when uploading the W-9, but it’s usually caused by two files with the same name, one blank and the other completed. In this case, the document was appropriately named as, “Seasonal Fruits,” so we’re not quite sure how to conclude that this was a simple error. If it was a test, then it’s one that we very definitely passed.
