After a long and dark winter there always comes the spring. With the spring there come (way) longer days, more sun and more degrees on the thermometers. Mixing all these ingredients and adding a bit of our energy and planning gives us amazing outdoor events for any occasion. No matter if you want to organize a birthday party, a football tournament or a meeting with your audience - the recipe for a successful event is very similar in each of these cases. In this guide Iâll try to touch upon some of the elements we at PUUF consider important while organizing an outdoor event.
Permissions
Assuming that you will organize your event in a public place, letâs say a park, itâs important that you receive necessary permits from local authorities. Thereâs a high chance youâll need to be granted at least one of the following permissions to ensure legality of your event.
If you want to hold an event on public land, you will have to apply to the local council,
if your event will require street or road closures, it will be necessary to apply for a temporary traffic regulation order,
if youâre planning to sell alcohol during your event, youâll need to apply for a special license,
depending on the number of attendees you might be obliged to report the event to local authorities in order to meet safety measures.
If you are only having a very small event with no amplification it is unlikely to cause disturbance to the surrounding area. If your event gets larger you will need to ensure you adhere to the laws which sets the acceptable levels for off-site noise. To avoid complaints, consideration must always be given to the residents living nearby.
Location
Letâs start with choosing the best place to be. Not being limited by cold weather and walls (sometimes even roofs) gives us so many opportunities, right? This freedom can often lead to great things, but we need to remember about a few factors while making decisions.
take into account how many participants you expect to show up. You wouldnât want your guests to be rubbing their sides against each other, nor you wouldnât want them to be spread apart too much,
has the venue been used for a similar type of event before? If yes, that could save you a lot of time in facilitating your guestsâ needs,
is the place enclosed or open? Choose something open if you donât mind random participants, but if youâre planning something formal, like a business presentation, lean towards an enclosed space,
consider where your guests will be traveling from: if you choose e.g. a park far from the city it can discourage some of the participants from coming, despite picturesque surroundings offered by the place.
Choosing the right venue for your event can turn out to be crucial. You can make sure that everyone taking part is invigorated by the surroundings if you make a good decision.
Weather
Definitely an important element in outdoor event planning. As much as we wish to be able to plan or âorderâ it beforehand, itâs not really possible with the current state of technology. Meanwhile thereâs few possibilities that might save our gathering in case of rain or eveningâs cold. For the latter we recommend providing heating umbrellas or a real bonfire (though we suggest caution, especially if alcohol beverages were served during the event!). Equipment
