Seamless integration of Sysfore HR & Payroll with Openbravo ERP Finance module

One of the key features required in any Human Resources and Payroll module is the ability of automated generation of financial entries for various salary processed for each of the employees. This helps all organizations to effectively track various resources cost under the respective accounting heads. In Sysfore HR & Payroll module, there are multiple levels at which you could setup these account mappings. As part of a generic setup to the finance module, the salary payable, loss of pay, overtime, standard deductions and additions accounts can be configured. This is described in the image-1 below:

Image-1 Pay Components Pay Components form the basis of any employee’s salary structure. There are pay additions or deductions which are defined for each pay grade. Pay Additions: Some of the organizations give “Overtime Allowance” as a pay addition component in the salary. From an organization’s financial tracking it is important for the management to see such kind of salary components paid out every month. For that purpose, the pay addition is mapped against the respective COA sub account, so that when payroll is processed the G/L Journals are created. As normal, these can be verified by the accounts team before posting the transactions. See Image-2 below for details:

Image-2 Pay Deductions: In certain countries, as per the prevailing law, organizations make certain deductions like tax and state insurance from the salary. “Employee State Insurance” is defined as a deduction component in the salary. From an organization’s financial operations it is important for consolidating such deductions and do the necessary remittance to the government based on the salary paid out every month. For that purpose, the pay deduction is mapped against the respective COA sub account, so that when payroll is processed the G/L Journals are created. As normal, these can be verified by the accounts team before posting the transactions. See Image-3 below for details:

Image-3 Once payroll is processed in the respective salary cycle, G/L Journals will get created automatically during the payroll run as in the below Image-4:

Image-4 Payroll Accounting: In the Finance module, the accounts users can review and post the G/L Journals. Thus the Sysfore HR & Payroll module gives a complete end to easy setup and integration to the Openbravo ERP Finance module. Refer Image-5 below:

Localizing Syfore's HR & Payroll solution on Openbravo to suit different regions

In terms of localization of Syfore's HR & Payroll solution on Openbravo, Sysfore is already working with other Openbravo partners in different regions. We are working with partners from Spain and Middle East to localize for these geographies. US & UAE localization packs are also in the pipeline. Based on the kind of requirements we analyze them and then build them as separate localization packs. We look forward to feature suggestions and requests from customers & partners for these developments. As a practice we classify the requirements and add them to the Sysfore HR & Payroll product roadmap.

1. Is there any HR & Payroll solution on Openbravo? Yes, Sysfore HR & Payroll Solution is the only HR and Payroll Solution on Openbravo.

2. Is Sysfore HR & Payroll solution independent? No, this works on the Openbravo ERP platform. It can be easily deployed on existing Openbravo implementations.

3. Is community version is available for this or is it only a professional version? The Sysfore HR & Payroll solution is exclusively available only for the Openbravo Professional users.

4. On which Openbravo version does the solution work? The solution works on the latest Openbravo Professional Version 3.0 and higher. It supports backward compatibility to the previous 2.50 version also.

5. How easy is it to download and use the solution? The solution can be easily downloaded from Openbravo Exchange and used immediately by anyone who has a professional license for Openbravo.

6. Can employee time to projects / activities / tasks be assigned? Integration with Openbravo projects module can be done. Not many companies use this module and hence it is often used independently, however if there is a requirement, yes it can be configured to work with the Openbravo Project and Services module.

7. Integration points with Finance and Procurement? The HR & Payroll demo clearly shows that it is a seamless integration with the Finance Module. All the pay components can be mapped to the respective chart of account entries. While the payroll is processed, it will hit the respective accounting entries. It's a complete integration with the standard Openbravo finance. The user can set these while configuring the initial payroll system.

8. Does it integrate with Active Directory? Openbravo supports separated external authentication managers. For example, Openbravo has an out of the box module for Google apps authentication. Currently there are no Active Directory integration modules supported as the best platforms for the Openbravo implementation are non Windows with any of the Linux flavours.

9. How to define the maternity leave duration like months or days? Configuration settings are there in the application through which this can be setup.

10. How to calculate country specific tax deductions / defining conditions on salary elements additions or deductions? Each country’s tax structure is different. This can be formula based or range based. Sysfore HR & Payroll allows configuring such complex pay structures for the components and allows users to define formulas. Need for HR and Payroll in ERP systems

Sysfore started working on Openbravo in late 2008 to provide ERP solution to customers. Automating HR & Payroll for business: Realizing the need, we started working on developing an HR and Payroll solution for Openbravo that could be easily implemented on the existing solution itself. In 2010, we were set to creating a roadmap based on partner and customer requirements and had the first release of the solution rolled out in August 2011. Since then we have rolled out 5 releases, each with new and updated features of the solution. We have partnered with various other Openbravo partners and with more than 110 downloads, this solution has been successfully implemented all over the world including - Mexico, US, Bulgaria, India and Malaysia.
