If I wanted to make some art based on the drabble I wrote (which I didn’t make due to time restrictions), would that be okay?
I was thinking of adding it as a “work inspired by ___” rather than inserting it since it wasn’t originally included there when I gifted it to my recipient.
Absolutely! I did close the collection and don't intend to reopen it, so it wouldn't be included in the QYDD collection, but as far as I'm concerned, making any kinds of works inspired by works you made during the exchange is more than welcome.
(I know this is a totally separate question that you didn't ask, but your question made me think of it, so I'll say this as well—if you had ideas to make treats based on anyone's requests that you didn't finish during the exchange, personally I would encourage you to do so and just gift it to the person who prompted it outside of the exchange!)
The works for the Qi Ye Doodles & Drabbles Exchange are now revealed! Thirty-two small fics and drawings, all for Qi Ye! Go check them out: https://archiveofourown.org/collections/qiyeddexchange/works ! There is so much cool stuff in the collection and I'm so excited for everyone to see it!
Also, there's no anonymous period in this exchange, so feel free to talk about your works and gifts immediately!
Today, July 13, is the deadline to submit your main gifts for the exchange! You can submit as long as it's still July 13 anywhere in the world (so you have over 24 hours from when I'm posting this)! Treats can continue being posted up until reveals happen.
If you have any questions, concerns, or last-minute requests for help, just let me know!
If we have treats planned should each one be submitted as an individual work on AO3 or would a single work with multiple chapters be preferred? (This is assuming that the piece for the assigned exchange partner would be a separate work regardless.)
No preference on my end, do whatever makes the most sense to you! My own personal suggestion would be to make a different work for each person you're making a treat for, since then you can gift that person their treat individually, but that's absolutely just a personal preference.
today is the last day to request an extension! let me know by the end of today (anywhere in the world) if you need more time to create! if not, works are due by the end of the day Saturday!
This is intended as a brief guide for anyone who isn't sure how to post to the exchange collection! I suspect I won't be able to keep it actually brief but I'll try my best 😅. (And note, this is not about posting/hosting art on AO3: that's a whole separate thing, which I'm happy to try and help with if you need it.)
There are two main ways to post to a collection: you can either start by going to Post > New Work and selecting it somehow, or you can go to the collection post to it from there.
If you are posting your main assigned work (the one for the person whose request you are filling), you should post via the New Work page! It's very easy: go to the New Work page, where it says "Does this fulfill a challenge assignment", there should be a checkbox that looks like this:
Check that box! Now your work will be gifted to your recipient AND it will be put into the collection. All done!
The second option I mentioned, going to the collection, is simpler if you are posting a treat (which is to say, if you don't have an assignment to fill). When you go to the page for the collection, under the name, there should be a button for "Post to Collection" (on the right side of the screen, next to a button that says "Profile"). Click that, and it will take you to the New Work page but the "Post to Collections / Challenges" option will already be filled in for this event! This is handy, because AO3's search box specifically for collection names is notoriously slow to update, so finding the collection in the drop-down menu will be largely impossible.
If you decide to go from the New Work page and type in the collection name yourself, you'll need to search for the "username" of the collection, which is qiyeddexchange. ("Usernames" of collections never have spaces and are usually shorter than the display names and don't have special characters.) If it doesn't show up as an option:
That's fine! Just hit enter, and it should show up like this:
If that shows up, you're good to go!
This collection is currently moderated and unrevealed. That means two things: one, no one (except the mod) can see any of the works currently in the collection that they didn't post (they'll all show up as Mystery Work otherwise), and two, your work will be "unapproved" until I manually approve it. I'm checking fairly regularly now that I know people have started posting to the collection, but it will still take me time to go through the works and approve them.
You should be able to see your own works, hopefully even if they're not approved and definitely even if they're not revealed yet, by going to My Works (under your username) and then clicking the Works in Collections button, or directly going to https://archiveofourown.org/users/[USERNAME]/works/collected, but I have been told that this may not be working for everyone if the work is not yet approved. If it's getting close to the deadline or it's been a week or so since you posted, and you still can't see your work anywhere, you can reach out to me.
I don't know how helpful this is, but I know collections/exchanges on AO3 can be kind of opaque, so hopefully this helps illuminate any of the more confusing aspects for posting! If you have other collection-related questions, you can try looking through the AO3 FAQs about collections and exchanges, or you can send me a message!
AN UPDATE! @minnarr very kindly tested some things for me, and so I can now say for certain: you CANNOT see unapproved works in your Works in Collections and I was wrong about that! But there IS a way to see them!
If you go to My Collections under the pulldown menu from your username, or Collections in the list of links under Dashboard on the left of your screen, you should see some buttons at the top right:
If you click Manage Collection Items, you'll get taken to a new page, which will have these options along the top right:
and here you can see works that are awaiting approval! (In addition to all the other statuses that collection works can have.)
Sorry about the incorrect information before but hopefully this helps!
Also, a reminder: the last day to request an extension on making your assigned gift is one week from today, July 11 (anywhere in the world), and the deadline to turn in works is July 13 (also anywhere in the world)!
A second reminder, because I don't think I've mentioned it outside of the guidelines: if you need to drop out for any reason, that's fine! Just contact me to let me know.

oooh, excellent <3 thank you for opening it! :) I think you still need to approve them because for me it doesn't show anything yet..
Hi! That's right, I'll have to approve items individually, so it may take some time (definitely a day or two). You should be able to find your own unapproved or unrevealed works by going to archiveofourown.org/users/[USERNAME]/works/collected even if it hasn't been approved yet. I'll go through what's there now, though! Get excited, everyone, we have ✨secret works beginning to appear!✨
Hi, could you open the collection for works? When I try to post something it tells me the collection isn't open o.O tank yuuu <3
(and also @missjudge-me who asked the same question)
The collection is now open! I forgot that people who aren't me don't procrastinate until the last few days to finish and post their work and so I hadn't thought to open it yet 😅. If you're still encountering problems, let me know!
I do plan to make a post about posting to the collection sometime this week, in case anyone hasn't done it before and isn't sure how it works.
Speaking of TREATS... all requests in the exchange are now visible to everyone! Anyone at all is welcome to make treats. If you're not participating in the exchange, feel free to get started on treats whenever you want! If you are participating in the exchange, I would strongly encourage finishing your main gift BEFORE you start any treats.
For treats, you are welcome to make any format/media you like, unlike the main gifts (which can only be writing or drawing). You will still need to respect any DNWs of a prompt you're making a treat for (including if the person has asked not to receive a specific format), and regardless of format, you should stick to the spirit of the exchange—short and low-pressure! I haven't provided specific guidelines or limits to other styles of media, but you should use the writing and drawing guidelines as a model.
If you've never posted treats on AO3 for an exchange before, the main thing you should know is that you should make sure to add the collection to the work because then they will be revealed at the same time as the rest of the collection. I'll post more about how to post to AO3 when the deadline gets closer, but you're welcome to ask me now if you're wondering.
Feel free to reach out here or on Twitter if you have questions about treats or anything else exchange-related! (And apologies to everyone who tried to reach me on Twitter previously, I missed a few messages so I'm going to be more diligent about checking them now.)
Hi, I am participating in the exchange and have two questions. First, how strict are the word count limits? My treat is 650 words instead of 500, would that be okay or do I have to cut something? ^^ Second, could I make a short video as a gift as well? Not for the main assignment, but as a treat?
Thanks for asking! The word count limit is pretty strict—the main reason it's flexible is because different programs count words differently, so ideally it should only be 5-10 words over 500 at most. 650 is definitely long enough that you'll need to shorten it.
Ooh, what a cool idea! I will say, yes, any form of media is acceptable for additional treats! (The main gifts for your assigned recipient do have to be either fic under 500 words or sketch/doodle-quality drawing.) Do note, though, that treats still have to respect the prompter's DNWs, so if someone specified a format of media they don't want to receive, that still applies even for an additional treat.
I will update the FAQ with both of these questions, in case anyone else is also wondering!
Matches have gone out! If you signed up, you should have gotten an email in the email associated with your AO3 account—let me know if you have trouble getting the assignment or if you have concerns!
Sign-ups are actually finally closed now! Matches will still go out by June 21, treats will still be a possibility once matches go out, and feel free to ask any questions!
Sign-ups for Qi Ye Doodles & Drabbles Exchange are now closed! Matches will go out by June 21, so if you've signed up, you'll get an email from AO3 telling you about your match. Feel free to ask me any questions (here or via Tumblr) about any part of the exchange!
If you didn't sign up but might be interested in making something anyway, there will be an opportunity for treats! Once participants' matches have gone out, all requests will be made visible, and anyone will be welcome to create an additional treat (following the rules of the exchange) for anyone who has signed up!
hello, this is no longer true! i'm opening sign-ups back up because i realized i don't need a whole week to match people. so if you missed out and want to join, you'll have another day and a half! I will be closing sign-ups again at the end of the weekend (anywhere in the world)
