Okay, there had to have been a time skip between the Mob Song and the Castle Battle.
It takes exactly 6 seconds, after Lumiere says “I know what to do” for the villagers to break in and be greeted by a seemingly empty castle. Mrs. Potts, who was on the floor, is on the serving cart with Chip, Lumiere and Chapeau are by the fire with the other servants, and Cadenza is off in another room, from what it looks like.
There’s no way that Lumiere was able to explain what they were going to do and for everyone to get in their places in six seconds. Four of those seconds would be spent trying to get Cadenza off the door, in all honesty.
There is also a split second shot of the doors unlocking themselves before the villagers get inside and fall over each other. The staff let them in, so any amount of time could have passed before they felt that they were ready to fight the villagers.
My guess is that Lumiere didn’t have to explain much, and that they had already planned for this scenario before. I don’t know what could have possibly led them to think this up in their spare time, but hey, they had a lot of spare time. There is a mention, in the novelization, about a vagrant who found the castle and tried to warn the village about it, so maybe the staff thought of this, assuming that he would come back with friends.
