Writing a letter would be the best way to go about it. Here is a sample for you and here is a sample for your doctor to write and sign. You can send it to your landlord via certified mail (meaning they have to sign for it and you will receive confirmation that they got it) and ask for a response within a certain amount of days upon receipt. Ten days would be ample time.
You should also include this official document from the US Department of Housing and Urban Development, which explains the rights of assistance animals in housing.
Here are some sections that you can highlight that will make the document easier to read for your landlord:
The reasonable accommodation provisions of both laws must be considered insituations where persons with disabilities use (or seek to use) assistance animals in housingwhere the provider forbids residents from having pets or otherwise imposes restrictions orconditions relating to pets and other animals. An assistance animal is not a pet. [page 2]
[…] the FHAct and Section 504 require thehousing provider to modify or provide an exception to a “no pets” rule or policy to permit aperson with a disability to live with and use an assistance animal(s) in all areas of the premiseswhere persons are normally allowed to go, unless doing so would impose an undue financial andadministrative burden or would fundamentally alter the nature of the housing provider’s services. [page 3]
Breed, size, and weight limitations may not be applied to anassistance animal. [page 3]
[…] the housing provider may ask persons whoare seeking a reasonable accommodation for an assistance animal that provides emotional support to provide documentation from a physician, psychiatrist, social worker, or other mentalhealth professional that the animal provides emotional support that alleviates one or more of theidentified symptoms or effects of an existing disability. Such documentation is sufficient if itestablishes that an individual has a disability and that the animal in question will provide sometype of disability-related assistance or emotional support.
