SharePoint Vs. Public Folders

SharePoint is a web application framework and a business tool that makes it easier for the employees to work together and share information and documents. With SharePoint the information is always available and from any location in case of a hosted SharePoint solutions. This can improve productivity tenfold. Public folders in Exchange is similar where in you can share your contacts, messages, calendar item. Thus what makes them different and which should you use. We explain here the difference between the two and a short history about them along with the explanation. Public Folders

Public Folders isn’t something new and it is likely that many businesses are already using it.Public Folders are available in Outlook and Outlook Web Access (OWA) and can be accessed directly. They provide the administrators and the users a simple way of sharing data via Exchange and Outlook. In fact public folders can also be synchronized to a BlackBerry. Public Folders has its advantages but when it comes down to flexibility it is obvious that it lack it and have a maximum quota of 2GB. SharePoint

With SharePoint permission are more flexible and granular and there is full interoperability between SharePoint and MS Office suite. SharePoint has many applications and thus can be used in many ways for a business. For eg. SharePoint’s major areas are Collaboration, portal, search, content management, business forms and business intelligence. Off all these areas, every single one can be considered to a fully operational product by itself. In addition to which they seamlessly integrate with each other to provide endless opportunities for improvement and operability. It is possible to share certain portions of the site to the public which is something that is not possible with Public Folders.

SharePoint has a very customizable interface which is quite appealing to users. It is also quite flexible, for eg. the permissions range from simple to complex. There is no limit on the number of sub sites or number of users. At the same time you get up to 100 GB quota limit for your site. On the other hand SharePoint is slightly complicated and training is required to make use of the expert features. Although SharePoint Consultants can come really handy when help in the form of configuration or installation is required. SharePoint in short has a steep learning curve though familiarity with other Microsoft products can be an advantage while trying to get a grip on SharePoint. The Verdict

At the end of the day both SharePoint and Public Folder are very good softwares one goes way back while the other is more recent. One being more business oriented than the other. Thus it may be advisable to use Public Folder if your organization is very small or you want to keep things simple and do not require any advanced features. But if you think you require a complete business solution that will improve data management and workflow then SharePoint is the option to go with. Summary: Public Folder has been around for a while but it pales in comparison to Microsoft SharePoint. SharePoint is a more recent release of business features by MicroSoft and is quite extensively used by the new and big businesses around. SharePoint has a lot many more features to offer thus if you don’t mind things getting complicated and don’t mind the learning curve either then SharePoint is the way to go.

More Public Sector SharePoint Development & Consultancy Projects for Pulsion Technology

Development of a Sharepoint 2010 based intranet for Scottish Refugee Council, which will provide document management and a central repository for all shared internal documentation.
