Cleaning Up Another Messy Document. What Might Await Me? Scenario: Law Firm removes Operator who had trouble with Lease Agreement. This is a common scenario where an operator or secretary was dealing with a document that may have been more complex than their current skill set which resulted in the formatting of the document being out of whack. Another individual was chosen to go in and clean up the mess. What should the clean up person be looking for? 1. A PDF or hard copy of the way the document is supposed to look for a guide. 2. Does the document in question have areas where Paste Special Unformatted Text was NOT-used therefore placing multiple areas of the document in a condition of having multiple Fonts and Font Sizes. 3. Areas where the multilevel outlines have gone out of sync due to copying text from documents with different active Multilevel Outlines without the use of Paste Special Unformatted text to bring the text from the source to the target area. In this case,?you probably have to check the Multilevel Outline Level By Level to confirm that the setup is correct. 4. Are the Section Breaks that segment the document in place so that different page numbering types are stable. 5. Are there attributes applied to the document such as Bolding, Italic or Underscore? Were they applied using direct formatting or by the use of Character Styles. Using your Apply Style Toolbar (Control Shift S) to determine direct formatting vs. the use of a Character Style. If your cursor is within a Body Text Paragraph or a Multilevel related paragraph then when you place your cursor on a word with an attribute the style name will switch in the alApply Style Toolbar Window if a Character Style was used if not there will be no switch of style name.. 6. Are the Quotes Uniform throughout the document or do you have a mixture of straight and smart style quotes? 7. If there is direct formatting of text with attributes that you want to remove then highlight the text you want to deal with and use Control Space Bar to remove surface formatting. Finally, check for areas where Cross References are being used , Defined Terms needing to be marked and so on. Don't forget to use Hard Space protection for those areas that paragraphs having numbered within the paragraphs. Stripping Direct Character Formatting and Some Considerations: This article is a bit different because it is not the typical clean-up article where you strip everything down to raw text and start all over. Rather, this is about having a situation where someone has either brought text in from somewhere else or through direct formatting used a different font so throughout the document you have areas where the font is different even though it is a word or two here and there it is still noticeable. The document as a whole does not need to be stripped so here are some pointers concerning this scenario. 1. We may have a situation in the document, where throughout the document there could be bolded, underscored and Italicized text that was not done by a character style nevertheless, it needs to be left alone since those attributes applied to the text (directly or not) were done so at the direction of the attorney. This is important because this means that you can't make "wholesale use" of Control Spacebar (using Control A) that strips all direct formatting off of the text. If we first highlight a particular piece of text then the rest of the text remains unaffected. This is an effective way to remove surface (direct formatting) instances of fonts that don't match the intended font of the document. Note: Taking off direct formatting by use of Control Spacebar does not affect anything that is part of the actual styles being used within the document. 2. You would want to use the control Spacebar carefully (highlight particular areas to get rid of unwanted fonts) so that the bolding, underscore and italic instances that are wanted by the attorney are not disturbed. So, this means that you don't want to do Control A then Control Spacebar. Rather you want to go piece by piece. 3. If you do decide to use Control A and Control Spacebar to strip all instances of direct formatting, then you better have a hard copy printout of the document, so that you can ensure that you can reproduce those areas of the document that were bolded, underscored or Italicized if you go this route. 4. Before stripping direct formatting from a document, you always want to have examined the document for legitimate uses of direct formatting so we don't get rid of attributes that the attorney did not want disturbed or removed. Remember, you always have the ability to create a character style so that all of your attributes applied to your text do not have to be direct formatting. 5. Locking A Field Scenario: There is a time sensitive document. It is about to be filed with the court. The TOC, TOA are done and are exactly the way the author/attorney wants it to look. There may have been some manual manipulation or style modification to the TOC and TOA. Either way, the attorney wants the TOC and TOA locked down while he has paralegals and others giving the document a last look. He does not want someone rerunning these headings without his okay. Get it? That is the scenario. How do we lock the field. And, keep in mind, it does not have to be a law firm per se. It can be any scenario where the author of the document wants to control when a Table of Contents, Table of Authorities, Index of Terms is to be updated. When you are in a situation where you want to make sure a field does not get updated, or at the very least prevent someone who was not in the loop from doing so, you can accomplish this by locking the field. Locking prevents a field from being updated; the last result (update) stays in place until you unlock the field and then update it if needed. To lock a field, perform these steps: Select the field you want to lock. Update the field, if desired, by pressing Shift+F9. Press Ctrl+F11. If you later want to unlock the field, follow these steps: Select the field you want to unlock. Press Ctrl+Shift+F11 This method is recommended because it is very easy to reverse quickly. This is opposed to the Control Shift F9 method which strips a Field Code down to Plain Text which make the TOC, TOA or Index of Terms no longer capable of being generated. Dealing With Excel Charts That You Wish To Bring Over To Word and Knowing How To Update Linked Data When You Go To Print. A Couple of Different Ways To Copy An Excel Chart Over To Word... Copy Paste Method Let us start off with two types of copy and paste. One lets you grab a particular piece while another lets you (using Insert Object) lcopy the entire spreadsheet into the MS Word Document. Grabbing A Particular Piece 1. Select the area in your Excel spreadsheet that you want to include in your Word file and then use Ctrl + C to copy the section/piece you want. 2: Go to your Word document and use Ctrl + V to paste the contents into the Word file. In order to link,the table to the original source, on the Paste Options button at the bottom right choose either Match Destination Table Style and Link to Excel or Keep Source Formatting and Link to Excel. 3. Your table will be linked to the original Excel file. When you update the Excel file and reopen your Word, file, Word will ask you if you want to update the doc with the new info from the Excel file it is linked to. Clicking "Yes" will update the MS Word file. Note: Both your Word and Excel file can be opened at the same time. Also note that you can't edit the Word file and expect it to update the Excel file. It only goes one way. Keep in mind with the cut and.paste method you can keep source formatting or the waiting destination styles without any link to the Excel file as well. Note: You can have MS Word automatically update the Linked Data when sending your MS Word Document to Print. In order to do so, go to File, Options, Display and under Printing Options check "Update Linked Data Before Printing." The insert Object Method Using the Insert Menu to link the Excel file to the Word file. 1: In Word, go to Insert and click on the Object dropdown and choose Object. 2: Click on the Create from File tab and click Browse to look for the intended file. 3: Once you choose the file, you need you will see two check boxes at the right side. If you want to link the Excel spreadsheet, choose Link to file. If you want to insert the spreadsheet but not have it linked to the original file, then don’t check the box. Note: Using the "Insert Object" method will result in the entire contents of the Excel spreadsheet going into Word rather than just a portion. Remember: If you double-click on the Excel object (if you linked it), then it will simply open up the original Excel file in Excel. The Insert Table Method: This can insert an Excel spreadsheet that can be edited into Word by going to the Insert Tab, clicking on Table and then clicking on Excel Spreadsheet selection at the bottom. This method is for those people that want to create and edit a new Excel spreadsheet from scratch from within Word itself. This method, though, will insert a "floating" spreadsheet and load the entire Excel menu too inside Word, so you can go about your business and do things such as inserting formulas, etc just as if you were in Excel. You can add sheets, filters, format cells as if you are in Excel. Follow Number With Nothing? What is this about? Here Is The Scenario: You have the following Heading Centered on your page ARTICLE I (Soft Return) INTRODUCTION (Hard Return) 1. In the Multilevel Outline Dialog Box, the Word Article and the automated number l (Roman) are all considered part of the number for this level Heading 1. 2. In the Multilevel Outline Dialog Box, there is an area called "Follow Number With". Normally, when the Numbering part of the Heading Shares the line with the Textual part of the Heading, we use Follow Number with "Tab". 3. In our scenario above, the Numbering Aspect of the Heading resides on the line by itself. Therefore, in this scenario we choose Follow Number With "Nothing". This is because there is nothing following the numbering aspect of the Heading. 4. If you do happen to use Follow Number With "Tab" in this scenario, you would lose points on a hands-on test, because the centered Heading will be slightly off center and in a law firm environment your co-workers would notice it as well. Now that you are aware of this type of situation, you will now be less likely to make the error. It is not a big deal but valuable to know. The Very Useful Watermark Feature Whenever I bring up subject matter that involves procedures whereby the location of the feature has moved from one version of the software to another, it is very important to know where the item has been newly situated. The Watermark is a very important feature that should be used to protect against wholesale copying. Let's take a quick look at the Watermark. If we choose to implement a watermark in MS Word, we make a decision whether we use a generic watermark such as "Confidential" "Client Copy" etc. or we can use a picture or logo type picture and finally we can use a "Custom Watermark" whereby we type in our own text such as our company name, website etc. If we print out the file, the watermark will be visible on your hard copy. If we send the file in MS Word to someone and the file is not password protected, then someone can simply remove it. Finally, if we save the file as a PDF, then the watermark will be present in the PDF on its own layer. Again, it can be accessed and removed if you don't password protect the PDF file from editing. In Adobe Professional, this can be done under Tools, Advanced Editing Functions and choose -Touch-Up Object Tool. And one should remember the many programs that break the passwords set on both MS Word and Adobe PDF. Keep in mind that the watermark can be implemented from the Adobe file since Adobe Professional and Nuance allow one to create a watermark in the newly created PDF. In MS Word 2010, we find the watermark under the Page Layout Tab. In MS Word 2013-16, here is how to get to the watermark feature: Click the Design tab. In the Page Background group, click the Watermark button. A menu plops down with a host of predefined watermarks that you can safely place behind the text on your document's pages. Choose a watermark from the long, long list or customize your own. Note: To "flatten" the watermark so that it can not be removed! Dealing With The Tab Type Selector and The Tabs Dialog Box You would be very surprised how many people have never realized that there is a "Tab Type Selector"all the way to the left of your ruler. 1. For starters, if your Ruler is not visible, go to your View Tab and on the left side of the Ribbon make sure you place a check next to "Ruler". 2. Now that your Ruler is visible, look all the way to the left of the ruler and you will see.a little box. Click on it until you get an "L". That is a left tab type. Click twice more and you see a backwards "L". The backwards L is a "Right Tab" type. 3. This is the point. Whatever Tab Type is sitting in your Tab Type Selector, will determine what Tab Type you get when you click on the ruler. Below are the major Tab Types: Left The text extends to the right from the tab stop. The right side of the paragraph is uneven Center The text is centered at the tab stop. Right The text extends to the left from the tab stop until the tab's space is filled, and then the text extends to the right. Decimal The text before the decimal point extends to the left, and text after the decimal point extends to the right. Bar We don't use it a lot in law firms but a vertical line is placed at the specified position on each line in a document. Instead, of having to use the vertical bar key on your keyboard at a certain location, the vertical bar tab will automatically place that character at a specific location. A good example is you have multiple columns as a set of lists and you are not using tables but using tabs to separate the columns. In order to create a divider line between each column the vertical bar tab will kick in and place a vertical bar on each line before you tab to the next column. 4. When you place a Tab In the ruler, double clicking on that tab will open your Tabs Dialog Box. Sometimes it does not. If so, go to Home, Paragraph and at the bottom of the Paragraph Dialog Box you will see a button called Tabs. So either way you will get into the Tabs Dialog Box. 5. When getting into your Tabs Dialog Box you have the ability to change the Tab Type, attach a Dotted Line Leader, a Dashed and/or a Solid Line Leader if you need to produce those type of lines. 6. To remove a tab from the ruler go to that tab and click and pull down which will remove the tab from the ruler.
