Unit 2 Part B: organise the people and resources required to run the project
Practical Issues of the event include, antisocial behaviour, late entries, so artwork and musicians not turning up on time, trips and slips, which could cause a hazard due to the cables for the PA system and amplifiers also electrical fires could be an issue as there is lots of equipment for the poetry installation and music performances. Flashing lights could raise an issue for people with epilepsy, as this end of year party is also linked with My Normal which is accessed by youth with disabilities. Finally, there’s also an issue with capacity as the venue isn’t too big and there is a limit of the number of people allowed, therefore we will need to keep note of the capacity on the night with out door clicker.
My plan for the lead up to the event:
We will promote our project by posting about it on social media, before and during the event, we will create posters and find an artist to design them then we will print them and put them up around Oxford.
Here’s a rough idea of what we want on our posters:
We will deliver our project by working together to bring the different aspects of our jobs together, working with all the different art mediums alongside each other, to reflect and celebrate the work achieved by the Young Women’s Music Project this year. We will use a women sound engineer, Glenda, to work with us as we already know her and feel comfortable around her, Glenda will bring equipment we can use and assist us in setting up on the night. The venue we are going to use is Fusion Arts as it is where YWMP is artist in residence and takes place, we know the venue well therefore we can have access to it before the night, it is also a fully disabled accessible venue - this will help with planning where things will go. We will make it open to the public and allow it to be free entry so that no-one is excluded. We will also try to keep the budget down, we will give £250 to Dario to print our posters for us, £50 to the designer Léa for the posters, £150 to Glenda for her services and a van hire to bring all the equipment to us as well as £40 for two £20 floats for the merch stall and the kitchen to sell food and refreshments.
We will evaluate our leadership skills by asking one another and people at the event like Zahra and for me the people who participated in the poetry. We will get overall feedback about the event from people who attended by having a comments book, hashtag and using voice notes.
Here’s our risk assessment:
Regarding health and safety, we have thought about food and refreshments, so food allergies which could be resolved by a list of all the ingredients in each edible.
For legislation, the venue and YWMP is insured and has taken care of all relevant legislation like noise levels and equipment insurance.
