Claiming VAT refunds at Travelex in Heathrow?
I have been itching to post this, especially since I feel guilty a lot of the times when I meet some of you. And since I recently quit, it seems like the best time. Here's a how to guide to how to successfully get your VAT refund at Heathrow airport in London.
Make sure you are claiming from the terminal you are departing at, and for that matter, on the same day as your flight, they won't refund you a day before. Even if your flight is six in the morning, if it is you might as well skip Travelex and just go to the customs desk early in the morning.
Have the goods with you, (even though they don't really check, but they will make it difficult for you, but in their defense they have to ask otherwise its their asses on the line.)
You can get a VAT refund form from the shop where you bought the goods. Some shops don't participate in VAT refunds so they might not carry a form, YOU CAN NOT GET A FORM FROM THE AIRPORT-IT HAS TO COME FROM THE RETAILER. RECEIPTS ARE NOT FORMS. No form, no refund.
Make sure you fill in the form. Name, passport number, home address etc. They won't fill it in for you and they will send you away to the side to fill them in. They won't hold your hand.
Students: If you were studying in the EU and have now completed your studies make sure you have a letter from your university saying that you have completed your studies. This is especially for those of you who have a student visa that is still valid for more than 3 months. You can not claim VAT until you are done with your studies and leaving the EU. I once got in a huge argument over this with a customer, but you're really not allowed to. If your parents did shopping and they are going back home, make sure they claim in their name, not yours, otherwise Travelex will not accept the form.
If you have jewelry or electronics you have to get a customs stamps AFTER the security check point, than the VAT desk there will refund you. So many people wait an hour or more to be turned away for this reason, even though there are signs everywhere. Terminal 3 even has a recorded message playing constantly about it. (I once met a man in T3 who stood almost two hours in the queue, even listening to the recorded messages and seeing the signs but was baffled that it wasn't the check in counter. Be aware of your surroundings people.)
Try and not to have a form listing more than £4999 worth in items, unless you can take the most expensive item through security with you. Better yet, before the customs desk tries to send you to Travelex tell them your form in over that amount and you need their stamp, you get that stamp you can pick up the money at the VAT desk after the security, usually less busy. But good luck, most of the time they are just as difficult as Travelex.
They will charge you a commission fee for cash, it's usually about £2.70 per form, but I have seen £8 pounds for one form. Really depends on the VAT company (GB, Global Blue is always £2.70, Tax Free, Premier and so on).
Credit card is free, but to be honest I advise against credit card because I have had so many people come back six months or even a year later who tell me they never received it. (although I have met like two people who say they got their refund, but the former outweighs the latter).
BUT, there are some forms which are IMPOSSIBLE to cash, usually customers just accuse the consultants of bullshitting, but sometimes you just can't cash a form, either because the system does not recognise it as a cash form (you get that for Highlanders, sometimes Zara and H&M as well as other shops) or because of the amount. Some customers turn up with £2 forms, you won't get anything.
It doesn't matter if you paid in cash, that doesn't mean you can get cash back, you might still have to do credit card. I've heard this so many times, it doesn't work that way.
Also, if it is under the commission amount (unless its Premier, where even if its a pound you can cash it) forget about cash, the only thing you can do is credit card. There is no receipt for credit card unless it is a Global Blue form, but even then this is not a guarantee, I have met many customers who have told me that they did not receive the money.
If you decide to completely ignore my advice on credit card and decide to take the risk, and don't get your refund and decide to complain to Travelex and ask them to do something, well I'm honestly sorry to tell you but they won't be able to chase it up. We've been told to tell you guys to ask the shop or the VAT company, maybe that works...I honestly don't know.
If you choose the cash when they ask you if you want your home currency at 0% commission, make sure you check the rate before you take it, I don't know how those rates are acceptable at all, but we are supposed to try and sell it to you guys. If they tell you that you can not have GBP for whatever reason, don't believe it, they always have pounds, it is just a ruse for them to make a sale, but you end up losing a lot of money.
I have taken so much abuse from some customers. The sales consultants and queue hosts (those guys outside the queue checking forms and taking credit card forms), they mostly can't do anything other than scan forms and give money, they can't magically turn your forms into cash when its credit card only, or get rid of the commission rate. Not their faults, its the man's fault man. But seriously there's only so much they can do. Show up a few hours before your flight (technically they can only take it four hours before your flight), be prepared with complete forms and the items, e-tickets and passports. I know you're travelling but try not to be rude.
Although, I know I'd be rude to certain sale consultants (and managers), but its impossible to argue with them, the logic they use sometimes is laughingly horrible, but its what they have to say, they're employed to say those things. You might get lucky and get someone nice, or you might get someone who just yells at you, it is up to chance. But if you follow what I've said, then it should go smoothly.
