Once you have selected the transport company that you want to use and everything is scheduled, the next step is to coordinate with the truck driver so he can load the vehicle. 1. The first and most important step is to establish communication with the driver and dispatch office as soon as you can. There is times when the driver isnt assigned right away, but dont worry because its normal for transport companies to build loads shortly before your vehicle is scheduled to be picked up. Ultimately, the most important thing to do is establish communication so it becomes a habit throughout the transportation. 2. By this step, the driver has already called you and provided an eta for arrival. The driver has the responsibility to brief you on any restrictions or instructions regarding the preparation of your vehicle. For example, cargo insurance became null in the auto transport industry as of March 2012. This new rule clearly states that cargo inside of vehicles will not be covered by the carriers insurance at any moment throughout the transport. The driver should review this fact so there is no confusion. 3.Once the driver arrives onsite, he will go through a document called Bill of Lading. This document serves as a receipt for the transport and it permits the driver to confirm that condition of the vehicle before its loaded on the carrier. The driver uses this form to mark any blemishes or damages to the vehicle and then has you sign to confirm the information is accurate. The document becomes even more valuable by the time of delivery because it serves as a reference to evaluate the condition of your vehicle. If there is any damages on the vehicle that were not on the BOL, then you need to file a claim with the insurance of the carrier. The exact instructions are vague depending on what carrier you use, but there is important tips that will apply to any company that you work with.
If there is damages, take as many pictures as you can, from different angles, of the vehicle and its damages.
Do not sign the B.O.L. until the carrier and yourself has taken action to resolve the problem.
Call the broker to assist you, only speaking to the carrier will sometimes lead to the carrier giving you the wrong information so you can sign the B.O.L. and they can move on. However, keep in mind that once you sign that document, you lose all leverage in winning the insurance claim.
4.Once you vehicles arrives in satisfactory conditions, the next step is to pay for the transport. A broker usually takes a broker fee which is a small percentage of the transport. Typically, from $75 to as much as $300 depending on the total cost and the amount of work involved in coordinating the transport. For example, if your looking to transport 6 vehicles at a time, expect to pay a broker fee well into the 300-400 range. Keep in mind, that brokers get paid to coordinate the transport, communicate with drivers, assist in claims, reschedule if needed, etc. Do not let a broker tell you there job is over once they dispatch the vehicle. The best companies in the country will do everything in there power to ensure the entire process is completed smoothly.
What you pay the driver is referred to as the COD (cash on delivery). The drivers expect a payment in cash, cashiers check, or a money order. Any other arrangements need to be coordinated with the broker and confirmed with the driver before the vehicle is loaded.
In the end, it goes back to the communication you have with the broker and carrier. If there is no communication, chances are there will be difficulties throughout the transport.
