I'm definitely an introvert, gaining energy from spending time by myself.  I'm also not very outgoing.  Both of those facts lead to a high reliance on email, and a fastidious way of managing it. Gmail I use Gmail for my email.  While I've used the OS X Mail app in the past, it doesn't offer me anything that Gmail doesn't.  I do use the iOS Mail app to view my gmail account. Labels: I rely heavily on labels.  Almost every email I receive gets labeled.  I have about 10-20 labels.  Some emails get multiple labels. Priority Inbox: I don't use the priority inbox. I want to be in total control of my labels. Stars: I rarely use the stars. Since everything is labeled, I leave important emails in my inbox, which serves as a psuedo "star." Boomerang: I rely heavily on Boomerang, a utility that allows you to do 2 powerful things: return emails to your inbox at a specified time (kind of like what the Dropbox owned iOS app Mailbox does), and it allows you to schedule emails.  Here's why those features are important to me. 1. I can schedule the return of an email to my inbox at a specified time. I can have it return only if no one replies to the email. Both of these features allow me to follow-up on emails, without having to actively remember what I need to follow-up on.  Most time people will initially ignore and forget about emails. Boomerang allows me to follow-up within the exact time I want to. 2. It can schedule the sending of emails.  This may not seem very important, but there are times when you've composed an email, but don't want to send it quite yet. Rather than having to remember to send it at a later time, simply schedule it and it gets sent for you. Combine the two main functions of Boomerang, and you can compose a follow-up email, to be sent ONLY IF your initial email doesn't get replied to.   Oh, you also get read receipts, so you can see if someone may be ignoring you, or if they simply haven't opened the email yet. Random Extensions I dabbled with the extension MailFred, but never got anywhere with it. I dabbled with the contact add-in Rapportive, but didn't find it useful. Revisiting Sent Emails Whenever it pops into my mind, I go through my sent emails, and make decisions about whether to delete the thread, or to send a follow-up email. Search Because of Gmail's great search functions, you can easily find emails of a certain kind and make decisions about them.  For example, while I may want emails about my Amazon shipments while the shipments are en-route, I don't need those emails forever. I can do a simple search and clear out all old emails. Since every email gets a label, I can keep my inbox clear, while easily finding relevant emails. Boomerang enables me to stay on top of things that need to get done.

Google Testing Full-Featured Google Apps

Google Apps users got a step closer to full Google-personhood this week, as the company sent invitations to select users to test out a version of Google Apps that includes all the features regular Google users get, including AdWords and Google Voice.

Google Apps lets businesses and anyone who owns a domain to have Google power their e-mail system, and give their employees shared online productivity services. It’s free for up to fifty employees with no support, or $50 a person for support and uptime promises. The idea is to cut into Microsoft’s domination of business software by underpricing its business software, and drive more traffic to Google properties.

Despite the fact that many pay Google for service, Apps users have been at the back of the line when it comes to getting new features, and some Google services, such as the photo hosting service Picasa, aren’t included.

Most recently, Apps users were left out of a new feature that lets Gmail and Voice users make and receive calls right from the Gmail interface, which Apps users immediately began clamoring for. However, Priority Inbox, another new feature, is being rolled out to Gmail and Apps users alike this week.

In May, Google said it’s working to upgrade its infrastructure for Apps users, and it’s now asking some Apps users — known as Trusted Testers — to help test out the infrastructure, according to an e-mail seen by Wired.com.

Potential testers are being asked to fill out a form to apply, which will let them “test this functionality with a subset of your Google Apps users.”

The full-roll out is expected for later this year and will include adding Blogger, Reader, AdWords and Picasa, among others to Google Apps accounts.

Why some people need an email intervention

I have an old friend who has always had trouble keeping up with his email.  Let's call him FooBar. FooBar get's a **lot** of email. And it was his email woes, in addition to that of other friends, that caused me to create http://sanebox.com.  

No I'm not going to mention FooBar by name.  He is a good guy with this one little foible: he thinks every single email might be crucial to his life.

To understand this story you have to know that SaneBox makes decisions about what is "important" email and what is "unimportant" email.  This is a GTD type decision based on what needs your attention right now versus what can wait.  And SaneBox has layers of importance so we distinguish things that can wait a little with things that can wait a longer while.

SaneBox moves the "unimportant" emails automatically out of your INBOX to your SaneLater folder.

FooBar can't admit that focusing and keeping up with the important stuff is worth letting one email wait a couple of hours.  And this is The Problem.

SaneBox users are supposed to scan their "unimportant" email at least once a day to make sure that a timely issue hasn't slipped in there.  We can send a digest to your INBOX once or several times a day to make that triage easier. But, you still have to admit to yourself that it is OK if something out-of-the-blue from someone-you-have-no-real-connection-to comes in and waits a few hours until you have time to notice it.

I find that the everything-is-important people are often the leave-email-in-their-INBOX people. They use the read flag to indicate that they already triaged that particular email. THIS IS CRAZY and will lead to email INSANITY. Touch your email as few times as possible.  If you've opened it and you can deal with it, deal with it (read,forward,reply and then defer,delete,archive,file).  GET IT OUT OF YOUR INBOX!  

There is the occasional email that will take more time than you have now. SaneBox has defer folders for this. You put the email in one of our defer folders and it disappears from your INBOX until the time you have specified.  Whenever you read an email and leave it in your INBOX it forces you to scroll passed it every single time you look in your INBOX.  And let's be honest you look there A LOT.

Priority Inbox helps combat information overload by automatically identifying your important messages so you can focus on those first. Until today it was only available on the desktop and Android devices. Now, once you set up Priority Inbox in the desktop version of Gmail, you’ll see Priority Inbox sections when you visit gmail.com from your phone’s browser and click on the ‘Menu’ screen. You’ll also see importance markers in your inbox, so you can quickly identify which messages are important.

Gmail's Priority inbox, do you use it?

Gmail's priority inbox has been available for a while now, but do you use it or turn it off? I have a couple of personal google accounts and over the years it has been a lifesaver in many ways, and for me it just keeps getting better, however with the arrival of Priority Inbox this service is now second to none.

What does it do? It looks at the mail you receive and 'ups the priority' of mail that you take time to read, then, if you subsequently reply to that email it gets an even higher priority, so over time gmail learns what you want to read and what you discard (you can also up or down the priority manually)  this way it builds up a list of what is important to you and categorises your mail, so when you view your inbox (Desktop version) you don't have to start sorting the wheat from the chaff. Now the iPhone has this service which comes in the form of a google app which does much the same thing, it is also available via the mobile web - via safari which is now HTML5, if you get a lot of emails via google mail and you want to be able to read the ones that are important, quickly - then give it a try!  Start off by logging into your gmail account using a desktop browser, go to the settings and click the 'Priority Inbox' tab, select 'Show Priority Inbox' and save changes, now when ever you login to your account either on your iPhone or desktop you will be presented with you most important emails, those that you have starred will be in their own folder too, everything else will be in a folder named... everything else!!
