Quick tips on questions to ask venues before hiring

These are just some basic tips and ideas on what to ask the venue manager when you are performing a site inspection.

1) Depending on what you plan to do. Most venues will have some sort of restrictions when it comes to decoration, sound and types of equipment you can bring into a venue. Make sure to always check with the venue manager if you are not sure.

2) Take small things such as tea light candles into consideration. If you plan on having any form of candles being lit to enhance the atmosphere make sure you double check with the venue that it is ok. Some venues might not allow it as they are afraid that this might set of the sprinklers.

3) This applies to fog machines as well. Fog machines set off sprinkler systems, however some venues might be able to turn off the sprinklers for your event. Always make sure to check with the venue.

4) Sound restrictions. Certain venues may have sound restrictions depending on the building. If the venue (such as MiFA) is located in a private office building, there will be restrictions up to a certain hour so as to not disturb the other tenants in the building.

5) Bumping in heavy equipment. Make sure that if you are bumping in any heavy equipment such as staging that they have rubber bottoms or any sort of protection between the steel and floor to prevent scratching the venue floors. You don't want to end up with any unwanted bills.

6) Check with the venue to see if they have any available equipment on site. This can help cut down costs and help prevent you from hiring any unnecessary equipment.

7) Make sure to send the venue a copy of your floor plan as soon as you get it. This will give the venue an idea of what you plan to do in regard to floor set up and if there are certain restrictions that prevent a certain floor set up they will be able to consult you. This will help you avoid any unwanted surprises on the day of the event.

8) It is important for you to know than under Federal Law, any event that will be serving alcohol requires security on site. Some venues come with security and some don't. If the venue does not come with any security, your caterer or the venue itself should be able to recommend a trusted security company to you.

In honor of our Thanksgiving Tablescape we’re going to focus on yarn balls for DIY day.  We love the various styles of yarn balls out there and think, when made in the correct color and yarn type, can be incorporated into so many event design looks.
