Hello and welcome to the second Stellar Firma Holiday Exchange!

WHAT IS THIS EVENT?

This event is an opportunity for fans in the Stellar Firma community to share festive love with others in the fandom! We’ll be creating fanworks for each other based on prompts, the finished products of which to be posted on the 28th December.

HOW DOES IT WORK?

In the sign-up form, you’ll be asked to give three prompts. Someone will be randomly assigned to fulfil at least one of these prompts, and they’ll have about two months to finish their work, whether written or drawn. Everyone will be creating something for someone, as well as having something created for them.

Let’s look at an example of what this will look like with David and Trexel as the hypothetical giftee and gifter respectively!

DAVID 7:

PROMPTS:

 - Bathin/Self-Insert’s first date  - Beach holiday (space edition)  - Shrimp colours

    As you can see, the prompts can be whatever you want them to be (so long as they’re SF related), they don’t even have to be very specific!

In this hypothetical situation, Trexel can choose any one of these prompts to create a fanwork for, as long as he finishes at least one piece by the deadline. He could do fanart, he could write a fic — he could create literally anything, as long as it matches at least one of these prompts!

However, until posting day, Trexel cannot tell David that he has been matched to them. The giftee cannot know who is making a fanwork for them until it is time for the works to be revealed. This way, it will be a surprise.

SCHEDULE FOR 2022:

 - 15 October: Sign-ups open

 - 1 November: Sign-ups close

 - 3 November: Matching period finishes and assignments are released to gifters

 - 15 November: Check-in 1

Writers: 250+ words written, with a good idea of the rest of your fic

Artists: Idea of intended composition, a start made on lineart

 - 1 December: Check-in 2

Writers: 500+ words written, on track to finishing before the deadline

Artists: Lineart mostly completed, preferably colouring begun (but this is not an absolute requirement)

 - 20 December: Deadline for finishing works

This is a whole week before the posting day, just in case

 - 28th December: Posting

An AO3 collection will be created

A posting guide will be distributed

Please also post art on AO3 into the collection

As this is a short event, if you need to drop out at any point, please contact the mods as soon as possible, so we can get a pinch hitter to stand in for you. We’ll want them to have enough time to create something for your giftee, so no one will go without a gift :)

WRITERS:

Minimum requirement: 1 fic, minimum word count 1k

You can write more than one fic if you would like to work on more than one prompt.

If you are writing more than one fic, the minimum word count for each drops to 750

ARTISTS:

Minimum requirement: 1 fully-coloured piece

The piece does not have to be digital art (e.g. watercolour, embroidery are also welcome), but you must provide a good quality photo/scan of the finished piece

You can create for more than one prompt

If you are creating for more than one prompt, they can be lineart instead of fully-coloured pieces

ANIMATORS:

At least one piece of animation (any medium)

There is no minimum requirement for amount of frames/length of piece, but it must fulfil the prompt

Animations do not have to be coloured

MISC CREATORS:

If you would like to create, for example, moodboards or playlists for your prompt(s), you must create at least 2

Anything else will be judged on a case-by-case basis, when in doubt, reach out to the mods with your idea

PINCH HITTERS:

If a creator drops out of this exchange, we will need people who can pitch in to ensure the recipient in question will not be left without a gift

Minimum requirements:

Writers: at least 1 fic with a 750+ word count

Artists: at least 1 finished lineart piece (i.e. not a sketch)

POSTING:

There will be an AO3 collection that you will be able to post your works to: you must have/create an AO3 account in order to participate in this event. You may sign up without having one, but you must have an Ao3 account by the time of posting. Further details about the collection will be shared with participants closer to posting. Participants are also welcome to post on Tumblr and mention @stellarfirmafanevents​, we’ll do our best to reblog everything.

ACCESSIBILITY:

Please include an image description for all artworks. If you need help writing one, feel free to ask for assistance on the Discord (do not post your work publicly until the reveal day, for help with an image ID, send the piece to your helper via DMs).

POLICY ON NSFW:

NSFW content will be allowed in this event, but minors will not be allowed to create/request NSFW content. Similarly, adults can opt out of being paired with minors (as giftees/gifters), as we are aware that both of these are things people are not always comfortable with.

NSFW Content must be kept to the correct channels on Discord and tagged/rated appropriately on AO3.

POLICY ON FANDOM PURITY/WANK:

In the words of Rusty Quill itself, ‘all headcanons are valid’. You can create or request whatever ship, smut, etc you want, as long as all NSFW content is kept to adults. Fandom wank has no place in this event, and while we will not be performing background checks, any harassment and/or bullying of participants will not be tolerated. 

We will give you as many warnings as we believe necessary, but should any kind of unacceptable behaviour continue after such warnings, you will be excluded from this event for the next two years (including this one).

If you wish to understand why you have been excluded from the event, or why you have been given a warning, we will be happy to discuss it with you, but please note that harassment of mods is likewise untolerated.

He is clutching a large assortment of brightly colored bottles and tubes of lotion and moisturizer and crying, "David!! David it is you!"

The fifth panel shows David, looking positively gobsmacked and stuttering out, "T-Trexel?" as Trexel talks in the background, saying, "See, I was thinking David, 'Where is that smell of dread and anger coming from?' I can practically smell it on you David, have you washed recently?"

The sixth panel shows Bathin Galactonium cutting off Trexels words of "It's alm-" with "Trexel?" Bathin has deep sea green skin, dark blue hair, sunglasses, and a light purple shirt that has a deep v.

The seventh and final panel shows all three characters, stood in front of a picture of one of the freezer aisles of a Costco. Trexel is slightly backing away, quietly saying, "Oh no." Bathin is walking toward Trexel, saying, "Trexel! How've you been dude? You doing good bro? Buddy? My guy? My dude? Bro?" Behind him, the cart having been abandoned, is David, holding a frozen fish above his head and angrily striding toward Trexel. The fish is labeled as being six dollars and ninety cents. End ID.

My very first Stellar Firma fic! T-rated despite the title.

Trexel attempts to tell David about a date he's had with a squid in the Cosmic Lounge. He then proceeds to peg David. Except this is Stellar Firma so not the way you expect.

The Stellar Firma Holiday Exchange is over! I had a great time writing this and am having a great time making my way through the AO3 collection.

This is pretty self-explanatory! What do you want us to call you during this event? You can also include your pronouns here if you’re comfortable :)

SOCIAL MEDIA HANDLES:

At this moment, you don’t need an AO3 account, but you will need to have one by the end of the event, so your work(s) can be added to the exchange collection. However, we also recognise that people will want to post their works elsewhere, so this helps us keep track of things at that end. Please enter your AO3 handle and any other social media handle you may want to include.

WHAT ROLE(S) WILL YOU BE PARTICIPATING AS?

What do you intend to do in this exchange? This can be as a creator, or as a pinch hitter, or as both! 

Pinch hitters are the people who step in if a participant drops out during the exchange, in order to make sure that said participant’s giftee will not go without a gift!

Please note, however, that pinch hitters will not receive gifts, unless they are also registered as creators. Unfortunately, this is not something we can facilitate at this time.

PROMPT 1/2/3

This is where you type what you want to receive as a gift! Here are a few guidelines about prompts, in case you’re unsure about what to request.

Please don’t be too specific about what you want to receive. For example, ‘Bathin7 beach date’ is fine, but ‘Bathin and David go to the beach, and they eat ice cream, and then they have an argument about the thread count of socks, and then they…’ would not be. While it’s good to give some detail, it’s also important to allow creators the room to create.

You cannot request what type of gift you would like to  receive. This means that you can’t ask for a fic specifically, or fanart. You will be randomly matched. Some creators may work in multiple mediums, others might, for example, only draw.

Requesting crossovers is allowed, but please be aware that apart from Stellar Firma, you and your match may have no media knowledge in common, so it might be better to limit crossover requests to one prompt. 

Similarly for those who are of-age, consider limiting NSFW requests to one prompt, in order to make sure your match-up has choices, even if they’re not comfortable creating NSFW content.

Minors cannot request NSFW content.

Otherwise, go buckwild! 

DO NOT WANTS:

This is, in essence, exactly what it says on the tin. If there’s a trope or something more specific which you would not be comfortable/happy receiving in your gift, this is where you say it.

e.g. David might list ‘socks’ as a DNW, or ‘angst’. For DNW it’s best to think in AO3 tagging-terms.

However, we cannot accept, for example, ‘anyone who has created NSFA content’, as this is an incredibly broad category, and can be abused against certain users. We are not a private detective agency, we will not be performing background checks for this project.

This is also where you would put accessibility requirements, for example, ‘flashing/bright and contrasting lights’ or similar if you experience photosensitivity.

ADULT OR MINOR?

Again, pretty self-explanatory. However, we’re aware that not all adults will be comfortable being paired with minors, and minors vice versa, so this is where you’ll have the option to opt out of being paired with someone in a different age group to you.

We are trusting you to be honest. We are not private investigators. If you lie here, we are not going to sniff out all of your personal accounts to check. In order for this exchange to run smoothly, please tell the truth.

FAN EVENTS SIGNAL BOOST:

Stellar Firma is a small fandom — that’s part of why this event is being held! If there are any fandom events running at a similar time to this (for example, another holiday exchange), this is where you let us know, so we can spread the word!

NSFW CONTENT:

Adults taking part in this event can opt in or out of receiving/creating NSFW content in this exchange. If you do/don’t want to handle NSFW content, this is where you can state this!

Stellar Firma Holiday Exchange 2021 Masterpost

This year, we ran our inaugural Stellar Firma Holiday Exchange (a festive event where fans create fanworks for each other- for more information, check out this post here: https://theallknowingowl.tumblr.com/post/662952532751056896/hello-and-welcome-to-the-inaugural-stellar-firma). We genuinely didn’t expect as many people to sign up as did, as this was the first year of an event for a relatively small fandom. Still, somehow, 16 of you signed up and produced 18 fanworks of fanfic and fanart alike, all to spread the love of our little podcast in our lovely fandom.

However, before we begin, I’d like to take a moment to say thank you. At the start of this event, it was just me (Mod Tako) and my laptop. Of course, I couldn’t have done all of this without coding help from Mod Franzi (@franzis-frantic thoughts whose first event with the team is coming up soon!), and the beautiful art above from Coot (@ulyssesthescribe , otherwise unaffiliated with the mod team), but otherwise it was just me, my spreadsheets, and my burning need to see more engagement and content for and from the Stellar Firma fandom.

And my goodness, you delivered.

I couldn’t have possibly done this without everyone involved being as wonderful as they were to work with, so a sincerely-felt thank you from the heart, from your loving Tako. Now, only a few months later, our mod team has expanded to four people (and hopefully more soon!), and we’re working on a Discord server dedicated to our events (next up: Stellar Firma Anniversary Prompt Month!). Thank you, everyone who has taken part.
