Thank you so much for this wonderful blog, it's a true asset! I'm an illustrator that is just starting to get bigger contract work and I'm at a bit of a loss for what sort of financial information they will expect of me. Is and EIN number preferred over SSN? I understand Bank Wire Transfers are a preferred method of payment, and 1009s are to be expected, but are there any other bits of info they might expect?
You’re welcome! Glad you are finding the answers here helpful, and extra credit for reading thru already-answered questions before you post your own. WE LOVE THAT.
I’m US-based, so I’ll be answering US-centric. Since you are asking about SSN (Social Security Numbers) then I assume you are also US-based. I am sure there are different standards for different countries (so feel free to send us notes you Int’l artists and I’ll add them here). Now onward!
Generally people in the US will want to send checks unless they have a dance direct-deposit system (Like the NYTimes) or are an international company (which generally will do bank transfers). Smaller clients might do paypal if you ask, but big ones generally won’t.
To get paid you will need:
(US Citizens working for a US company)
—A Tax ID Number: Used to be a SSN, but these days many companies require (and all companies accept) EIN numbers. And EIN number is only for your own security. It’s a code number you use instead of your SSN, that is only used for getting paid. No one can open a bank account or steal your identity using an EIN. An EIN does not change your tax status in any way, and you do not have to be a business to have an EIN, you can get one as an individual too. So you should go get one, whether you are being forced to or not. It’s free, and takes 5min at the IRS Website. (NOTE: Do not use any other site but IRS - other sites charge you for it, and it’s a scam.)
—A W9 Form: A form that gives your real name (not your fancy art nickname – unless you’ve registered it as a business), your address, & your Tax ID number. Get one here from the IRS.
—An Invoice: It has to be a separate page you can print out — please god, do not just put the info in the body of an email, because your AD will either reject it or just give up in despair and have to make one for you so their accounting dept. will accept it. This invoice needs to have:—Your real name (must match your W9)—Your address, phone, & email—The client address, phone, email, and contact person—A unique job number (either the client gives you one or you make it up)—The date—A short description of the work—The price with the currency noted (dollars, pounds, euros, etc) and with decimal points. (No really, accounting septs will reject an invoice if you don’t add .00 at the end of the price)—Payment instructions, such as “Make Check payable to X” or “Please send payment via Bank Transfer” and include the Bank Transfer info, which needs all of the following: Bank Account Owner Name, Bank Account #, Bank Name, Swift code (your bank knows what that is if you don’t ask them). All this info is IMPORTANT because if you miss any it will get shunted around the accounting dept of a big company forever and add a ton of needless delays to your pay. And no, you can’t blame them if you’re the one that screwed up your info. They’ll try to get back to the AD or to you directly to fix it, but that becomes lower priority than processing correct invoices.
(Non-US Citizens working for a US company)
—W8 or W8-BEN Form: W9′s are for US citizens, W8′s are for foreign citizens. You use a W8 if you are charging as an individual person, and a W8-BEN if you are a registered business, Llc, etc, not an individual. Also, that W8-BEN is a nightmare form and you’ll probably need your lawyer or accountant to help. But you had to have used an accountant or lawyer at some point if you’re a registered business, so go ask them.
