We recently built an AI voice + SMS automation system for real estate company serving across the US.
The problem they kept running into:
Agents were not calling leads fast enough. Industry data shows contact rate drops 400% after just 5 minutes. Most agents make 1 to 2 attempts. Converting a lead usually takes 5 to 8.
So leads went cold. Agents claimed leads were unreachable. Replacement requests piled up. And the lead company had no way to verify who called when, or if anyone called at all.
Here is what we built:
An AI voice agent named Sarah calls every new lead within 2 to 5 minutes of form submission. The call runs under 3 minutes. It checks if they are still buying, whether they have signed with another agent, and when they are free to talk.
If no answer, an SMS goes out immediately.
Every outcome gets logged automatically in CRM. Qualified. Not interested. No answer. Do not contact. All of it tracked.
The result: agents only receive leads who already picked up the phone and confirmed interest. And the lead company finally has proof of every contact attempt.
We built the whole Phase 1 in about 30 hours using VAPI, ElevenLabs, GoHighLevel, and Make.com.
