Now that we are only a month and a half away from priority sign-ups (!!!), we thought we’d take some time to do an in-depth explanation of each phase of the schedule. Whether you're new to events like this or just want clarity on what each deadline entails, we've broken down the steps into more detail below:
Priority Writer and Artist Signups: November 15-30
Exactly what it says on the tin. During this period, any writers and artists who sign up will be given priority over participants who sign up later. For writers, this means your proposals will be revealed before proposals from late writers for the first round of artist claims. For artists, this means you'll have first dibs on claims.
All forms will open for submissions a week prior to their respective due dates and close at 12:00pm EST / 17:00 UTC on their due date, so make sure to plan accordingly.
Late Writer and Artist Signups: December 1-27*
*A slight adjustment to the schedule here - we are closing all signups a day before proposals are due, just to make the back-end organization a little easier for us.
Miss the priority period but still want to participate? There's still time! Late writers will have their proposals revealed after an initial claim period. Likewise, late artists will claim during this second wave.
All Writer Proposals Due: December 28
Time to submit your proposals! You can think of a proposal like a summary of your story, but one thing to keep in mind is that you will be trying to attract an artist, so a summary full of mystery and intrigue that might appeal to a reader might not be in your best interest here. Think visuals, imagery, setting - things that would inspire an artist to claim your story in order to bring it to life!
Soon we will be posting a thorough explanation on how to write your proposal, including some example proposals.
Priority Writer Proposal Previews: January 1
All proposals will be posted anonymously for artists to look over. At this time, artists should make a list of the top 5 proposals they'd be interested in creating for. It's good to keep your list handy so you can submit ASAP when claims open - the sooner you submit your claim, the likelier you'll get your preferred choice.
Priority Artist Claims Open: January 3
The artist claim form will open! Claims will open at 12:00pm EST / 17:00 UTC and are on a first come, first serve basis. If four different artists have the same proposal as their #1 ranked choice, whoever submits their claim first will be matched with that writer. The mod team will then work their way down each list of each artist in the order that they are received. If an artist only submits one or two choices and they are both unavailable, the mod team will assume the artist isn't interested in any other proposals and won't be able to resubmit a new claim until the next claim period, so it's in your best interest to round out your list!
We will be updating the proposal page in real time and crossing off claimed proposals once they've been spoken for, but this will be a process with several moving pieces and occasionally we will need to do things like sleep and eat, so we appreciate your patience in advance.
Late Writer Proposals/Late Artist Claims: January 4
Late writer proposals will be revealed and late artists may submit their ranked choice of all remaining proposals. If there are any priority proposals left, late artists can claim them. Pending how many proposals are submitted and how many artists are participating, we may open a third wave of claims for all artists who wish to choose a second claim if needed.
Once writers and artists have been matched, the mod team will reach out to everyone with the contact info for their match. From here, it's up to each individual team to decide how they'd like to communicate for the duration of the event - discord, tumblr, email, carrier pigeon, etc.
Checkpoint 1: February 1
By checkpoint 1, writers should be at least 50% complete with their projects. What that looks like can vary from person to person depending on how you work:
If you write in chronological order, you should be approximately halfway done. You should know where the story is going by this point, but you can have bullet points or a rough outline for the end.
If you write out of order, approximately half of your story still needs to be complete in whatever format works for you. You can have gaps with brackets, script-style dialogue or notes of what happens in unwritten scenes, but you should have a good idea of the overall structure of your story.
Everyone should have a beginning, middle, and end planned. You don't have to be married to it - we know firsthand how things can change and develop as you're writing! - but at this point you should have an end-goal in mind over writing aimlessly.
This is the time to reach out for help if you think you might not make the deadline. Compare your estimated word count to where you are, think about how much time you have left, and make a game plan for finishing. Beta readers can be sounding boards to help you work through sticky spots of plot and narrative just as much as they are a second set of eyes to check spelling and grammar, so if you feel stuck, a beta might be beneficial! Next week we will be posting more about beta readers, so stay tuned.
It's trickier to give tangible parameters for artists because of the variety of mediums, but artists should have a solid plan on what they will be creating and be anywhere from 30-50% into their process. Maybe you've completed your linework but you still need to color and do detailed shading, maybe you have 3-5 gifs done out of an 8-10 image gifset. Like writers, artists should know where their art is going and should be able to see the path to their finished product.
Checkpoint 2: March 1
By checkpoint 2, you should be at least 75% complete. If you are interested in having your story beta read, now might be the time to start that process. It's important to give your beta plenty of time to read and give feedback on your work, and yourself time to implement any changes that might need to be made once they do. Your story doesn't have to be complete to begin the beta process. Think about how long your story is, and how much feedback you're looking for - it's not realistic to send a 50k manuscript to a beta less than a week before submissions are due if you're expecting a thorough and in-depth edit, for example, so keep that in mind when you are working through your personal timeline as your story progresses.
Likewise, artists should be nearing completion. If any artists think they will be unable to finish in time, the sooner you let the mod team know the better, as we will hopefully be able to tap in one of our pinch-hitters if needed. In the event you have to pull out of your project, the more time you can give pinch-hitters, the happier everyone will be.
Checkpoints are not, technically, concrete deadlines. They are mainly there to help promote consistent progress and give yourself landmarks so the final due date doesn't sneak up on you. If you're closer to 60% done than 75% at checkpoint 2, don't freak out. You still have a month an a half until final submissions! Strategize, be proactive about making a plan for the remaining time, and don't be afraid to ask for help if you need it.
And on the flipside, if you finish your whole project by the end of January, congrats! You can kick back, relax, and enjoy more time to edit at your leisure.
Rough Draft Due: April 4
Your story should be 100% complete barring any final tweaks or edits. The meat of the story should be written, with minimal small gaps to fill if any at all. Now you can focus on refining!
Beta readers aren't required, but a complete final draft should be fully complete, meaning polished. If you're not having someone else read over your work, make sure to do a careful pass through of your final draft yourself to check for typos or any grammatical errors.
At this time, the collection will open for posting while staying unrevealed. I recommend you make a draft on AO3 to check for any spacing or formatting issues, and once everything looks good, you can post your story to the collection, breathe a sigh of relief, and wait for everything to be revealed!
Art, similarly, should only need some late stage refining and adjusting. If you're not quite there and are someone who likes to work in larger chunks of time in one sitting, be sure to have a solid plan in place for finishing by the final submission date.
Final Submissions Due: April 18
At this time, all works should be finalized and posted to the AO3 collection. We've left some buffer room just in case, but we would love for everyone to be finished and there to be no last-minute scrambling at this point ;)
Collection Revealed: April 25
