Claire.B , Emma & I went to Cash fro Kids | Rock fm sponsored Christmas lights switch on event on Thursday 14th November 2013 Where we met Rose the manager of Cash fro Kids and got to do some research into what standards are expected of a charity like Cash for Kids and enjoy the experience.
To evaluate I noticed that the event had collaborated with more than 6 different businesses who sold their stock in stalls (i.e like the Cupcake Shop you can see myself and the girls sampling :D ). There was a little Santa's Grotto and live entertainment on stage with people carol singing, dancing, and comedy all for charity. The event was tasteful and mindful of children with carefully selected music.
Which is something our team at PLAY TO GIVE will have to keep in mind for our event. Each band has to play music that is suitable to represent Cash for Kids a children's charity and still appeal to an 18+ demographic of students.

Emma Lamb Hey! I'm a Fashion Entrepreneurship student and we are hosting a charity gig night called Play To Give at the Adelphi on the 3rd December 2013, we are representing ROCK FM's charity Cash4Kids. We would very much love if you guys would be able to play for us on the night! Look forward to hearing from you, Emma Red Nine Hi Emma! Give us 24 hours and we'll get back to you. Thanks R9 Red Nine Yeah we'll be able to do that, we're in. Could we have more info regarding times and set-lists lengths etc.
Thanks R9 Emma Lamb Hi,
Great! Yes of course there is a meeting today about the event night strategy so i will be able to get back to you on it later if you don't mind! Thank you! Emma Lamb Hi guys. Sorry I'm getting back to you late!
So yeah the event is on 3rd December at the Adelphi. Starts at 7:30pm till 11pm you will be the 3rd act of the night planning on you guys playing at 9:30pm
The Adelphi says we can have soundcheck from 3:30pm on the day. My team are having a final meeting on Tuesday night after we have met the headline act because we want to ask them if all bands can use their drum set, so after that I can send you a big formal fb message but just wanted to get back to you since I said I would. But yeah quick questions, are you able to all being your instruments and will you be okay to play a 30minute set? Also here is our event page please could you post in your social networks to spread word about the event? Thanks! https://www.facebook.com/events/582244271849056/ Red Nine Hey, thanks for getting back to us. We will certainly be able to bring Guitars and Bass but we haven't made any arrangements for PA (which I assume is being figured out on your end) or mic set-ups yet. Also a full kit may be an issue (we have all the symbols we need) but it is a solvable problem should it be required of us. But yeah a 30 minute set is no problem at all Thanks,
R9 Emma Lamb Hey guys,
just a reminded that we have the adelphi from half 2, we are going to get the stuff from uni at 3pm and hopefully be set up by half 3.
So if you guys could come for then it would be great ! Red Nine Yeah sure we'll head down. What time are we on? Still confirmed 9:30pm? Emma Lamb Yep Red Nine Cool, good slot Emma Lamb Thank you so much for last night guys! You guys are such a great band! But thank you again for supporting us we raised i think over £200 now because we got other donations after the event I hope it was a good gig for you too!
Red Nine Don't worry about it. Was a pleasure
EVENT BUDGET plan and what actually happened
Risk Assessment of the event
Risk Assessment for Play to Give, Gig event
Risk - Action
Tripping hazards such as loose cables- Ensure tripping hazards are out of the way of customers and are taped down with high visibility tape
Crowd control – Customers get out of control-Contact venue staff who are trained for correctly
Electrocution hazard with band equipment- Ensure only trained personnel use equipment and keep liquids away from equipment. Also make sure only one electrical plug is plugged into each mains to reduce risk
What if there is a fire- Be aware of venue regulations, fire exits and assembly points
Slippery floor- Make use of venues ‘wet floor’ signs and wipe/mop up throughout the event
Venue reaches capacity- Ensure security is on hand and keep track of how many people are coming in and out the venue
Someone gets lost- Make sure everyone knows who to approach (each of our names team members) and have a meeting point by the entrance of the venue
Some tries to attend the event without paying- Be professional ask them to pay as it is a charity event. If they still do not comply call venue staff to remove them from the premises
There are technical difficulties- Confirm the venue has a fuse switch/ generator
Someone is in need of medical attention- Know where the first aid kit is and local/important emergency contact numbers
Hearing damage- The sound engineer must make sure the volume of music isn’t too loud
Expensive equipment could be stolen- Make sure the venue provides a lockable room for personal items and band equipment
Injuries during heavy lifting- Make sure only trained personnel lift heavy equipment and know the correct procedure to do so
People may feel claustrophobic- Make sure there is easy access to in a small dark venue light and fresh air
Risk of dehydration- Make sure the venue provides free, fresh water
Not enough toilets- Ensure the venue has adequate toilets for men and women for the capacity number
Injury on/around the stage- Make sure the personnel using the stage familiarise themselves with the area add that the edge of the stage is marked clearly with fluorescent markings.

Pre - Event Targets & Post Event Evaluation
As before my evaluations are in italic
Targets for event:
To raise £ 200-250 for Cash for Kids
(After Claire had calculated the total money we had raised from ticket sales, donations, three trays full of £1 shots sold, and additional donations made by the bands and the Adelphi and Noelle.
The PLAY TO GIVE GIG managed to raise a magnificent £175 for charity !)- whoohoo!!!
To raise the profile of the local charity with UCLan students
(Before we had printed the physical tickets for the event, Katie -who was responsible for leading the social media promotion of the event- had set up a Play To Give event on Facebook. It went as far as each team member inviting their friends on Facebook before we realised we could not reach a lot of people with an events page. So we deleted that and set up a official page for PLAY TO GIVE. All team members were made admins to add posts, promotional messages and photos. I chose to add a Facebook post welcoming people to the event as subtle reminders. Screen shots are going to be added of the messages and videos I post on the page).
(A suggestion was raised by our lecturer, to sell tickets online prior to the event. Noelle suggested we use Event Brite if they were free to create and administer. A ticket was formed and a web-link to buying a Ticket posted on the old Facebook event page before it was deleted. However, the rest of team and I were informed the day afterwards by Noelle who discovered that administration of Event Brite tickets would cost each customer 75p extra to pay Event Brite. We all were not happy with that because our event is a charity fundraiser essentially, and making customers pay Event Brite for the ticket distribution was not in keeping with that objective and brand message).
(As well as a Facebook PLAY TO GIVE page dedicated to promoting the event and the bands. Katie also set up a Twitter account for the event named #PLAYTOGIVEgig and made a Hashtag for our event too. All of the group and bands followed the Play To Give's twitter and retweeted our tweets. We got followers leading up to the event and the Twitter account was good at raising the awareness of the event as well as the Facebook posts did. I noticed that Facebook posts were viewed by more people though because Facebook's photo/video accessibility is quicker that Twitter; which is more of a commentary tool than visual).
(On the night we planned to all post live videos and photo's of each band that played. When it came down to it I had posted 2 videos of each band playing live on stage and 2-3 photos of the band on stage as well. Each had a message posted encouraging people invited to feel included in the excitement of the Gig as well as informing people not attending yet to get down there! I also managed to include our event Twitter hashtag, hashtags of the bands and Cash for Kids charity, to make sure as many people could view the posts who were connected to our page and the bands and charity's pages too).
To introduce new music talent to the students of UCLan
(By our team putting on an event whereby local bands played for a good charitable cause we successfully managed to introduce the customers who attended to new music that may not be by famous bands, but did manage to entertain them. As many people were standing, applauding and dancing at the event).
To enable new music talent to have a local platform to perform their talent
( In securing a venue that is experienced in facilitating live music events and being a guide to them in answering their questions, showing them around the venue, being present at sound checks, providing all the necessary equipment for the bands to perform with, and buying a round of drinks fro each band that performed. All this was done in a local venue that did not take more than 45 minutes to get to. Each band were asked if they preferred to bring their own instruments and they all answered yes. However, each band used a whole drum kit and there was not enough storage room or band switch over time for them to change drum kits in between performances. So as a group we decided to ask the Headliner band The Escobars if they could bring their drum kit as they are located in Preston where the event is held and we asked them if they did not mind sharing the drum kit with the other bands performing at the event. Their answer was that is fine and we managed to get a full drum kit that was transported by the band to the venue. Hiring a drum kit was luckily not a bother. Unfortunately, The Escobars could not attend sound checks until 6:30pm about an hour and a half after Red Nine had arrived to do their sound check. They unfortunately had to wait for the drum kit to arrive before they could begin doing their sound check. This could have been resolved if the Escobars were available to do sound checks first and set up the drum kit, but it worked out because The Escobars and Tales of Two Counties arrived together and it meant all there bands could do sound checks. Each band took 15 minutes to do sound checks once the microphones and instruments were plugged in to the speakers and sound system. Joni Beech the DJ was also present to sound check his music).
(Another issue was that Sky Valley Mistress who we planned to perform first out of the bands had not turned up for sound checks on time at 6pm. Amy began to panic a bit because she had no telephone number for the band. She did however email them to ask if they were coming at all to the event. By 7:30pm when the event had technically begun Sky Valley Mistress were still not present at the Adelphi).
(By then Amy, Clare.V, and I began discussing an alternative plan B to implement if Sky Valley Mistress did not show up before 8pm as we had planned to begin with the first band at 8:10pm).
('They had replied to Amy's email by stating "not to worry, we do not usually do sound checks, we tend to plug in and play," which confirmed that they were on their way but did not settle our anxiety of thinking they would not arrive on time. So Amy, Clare.V and I planned to start the show on time with Tales of Two counties beginning the show and playing for 45 minutes instead of 30 minutes. Amy asked the band and they did not mind playing for longer).
(At around 7:50pm Sky Valley Mistress arrived at the event. Amy decided to change back to plan A. So that the running order returned to how it was. Sky Valley Mistress were invited to set up on stage straight away to test their instruments worked but not do a sound check as about 15 customers had arrived in the venue and I believe it would be inappropriate to do a sound check in front of them. The band played successfully without any problems).
To raise the profile of the venue. In regards to the local student population
(The Adelphi is a pub that is located on the Adelphi round about in the centre of the University of Central Lancashire's campus. I chose to suggest the venue as a choice because I once attended a student/public gig in their separate venue located upstairs in the Adelphi pub. Which meant that students from our university are familiar with the venue and because of it's location would be able to find it easily).
(After the Ferret had neglected to confirm our event date, I took responsibility for securing another venue. It took me 2days to contact a friend Moe who reminded me of the event I had attended at the Adelphi. I thought it would be well suited to the Play To Give Gig because the venue is not a club, it is not associated with any bad rumours (which mattered as we are representing Cash fro Kids charity it had to be suitable to the event cause) and the upstairs of the venue hosted separate events and provided a stage (which i thought was appropriate for bands to perform on). I went on to secure the Adelphi as the event venue by Emailing the manager directly asking and informing her of the event, our mission and date request. I visited the Adelphi in person, to ask for the availability of venue upstairs. I also requested a meeting with the Adelphi event coordinator. In which Claire.B, Katie, and Emily came with me to discuss the event with Sarah.
Whilst the Ferret had told us they had fired their events co-ordinator and wouldn't be able to confirm the date we asked for until they employed a replacement. I took responsibility in securing another venue because of the risk we as a team would be taking by waiting for the Ferret to employ some one new. This event had a time limit and securing a venue is a significant part of managing an event. It had to be done, yesterday. So by getting the Adelphi; myself and the team could continue with poster and ticket design, and promoting the event on social media with the event location included on them).
To bring in new customers to the venue (rise in custom and profit generation)
(PLAY TO GIVE is targeted at students aged 18+ living local to Preston or on the Uclan campus. As Tuesday nights at the Adelphi may be quieter than other week days PLAY TO GIVE would bring an influx of customers; regular or new to the venue thus increasing the Adelphi's profit generation and introduce their service to new customers. On a night when custom may be low).
To generate some good will for UCLan students through our charitable event, thus raising the university profile in a positive and impactful way
(By donating the money customers spent on entry tickets, raffle tickets, donations in the charity buckets, and on the drinks offer provided by the Adlphi (£1 shots). Customers to the event would have a 'feel good' mentality about attending and having a few drinks and enjoying the entertainment from the bands, because the money they are spending would be going to Cash for Kids charity. Otherwise the event is hosted, managed, and curated by Uclan students. Therefore providing the PLAY TO GIVE GIG, university image, students, and community with a positive and societal impact.

Pre Event Plan Evaluation
This is the Pre Event Plan typed up by Noelle Brandwood who took on the responsibility of evaluating the team before, during and after the Play To Give Event:
My evaluation is carried out beneath text in (italics).
INITIAL EVALUATION carried out – 11.11.13
The difference between an aim and an objective is that an aim is a general statement that identifies the target of a program while an objective is a more specific.
The point of the initial evaluation is to give us a group focus in terms of the targets and goals we set for our event.
AIMS OF THE EVENT:
To raise money for a local charity
To hold a ‘gig night’ for local students
To arrange and manage a creative event
OBJECTIVES OF THE EVENT:
As a group, we would like to raise a sum of money somewhere in the region of £ 250 to be donated to ‘CashforKids’ a local charity endorsed by Rock FM (Preston’s local radio station)
(Ways in which we would raise funds are; Ticket sales minus the expenses for the event, drinks offer given by the Adelphi of £1 shots all the proceeds would go to Cash for Kids charity, plus any donations made by customers at the vent that get put into the charity donation buckets).
Money from ticket sales will go to ‘CashforKids’ a local charity endorsed by Rock FM. Also during the event, the venue will produce a ‘special cocktail’ to raise extra revenue for the charity - all profits from the cocktail will go to our charity
( I had a meeting with Sarah the event co-ordinator of the Adelphi along with Claire.B, Katie, and Emily. The question about what drinks she thinks would sell best on a Tuesday night at the Adelphi was asked to Sarah. She replied saying " it's really up to you. Students usually buy beers, ciders or shots. I wouldn't suggest a cocktail because they are usually quite expensive and students don't buy them as much as a shot for example." So Myself and the girls from the group discussed it further and decided there and then to do a deal with Sarah who offered to donate a Keg of flavoured vodka shots which would be on sale at PlayToGive event for £1. price which we think will attract students to buy them and feel good about the money spent going to charity).
We will approach several possible bands for the event, and through a process of curating, choose a final line up of 4 to perform on the night. There will be a schedules programme of events to run throughout the evening
(Finding local bands were our objective, Amy, Emma, and Katie said they all knew a few band members that play in Preston. Contacting our initial venue The Ferret was our first point of call to see if they had contacts with any bands that had played there before. If not then we just went on their web page to research for bands and contacted them directly using their contact details online. We sourced The Escobars from noticing they have a large following of fans in Preston as this is there home town it increased our chances of getting them to play for charity as well. The band Red Nine are from Preston and they were Emma's contact. Tales of Two Counties (from Burnley), and Sky Valley Mistress (from Blackburn) were contacted by Amy who searched for them online.
Sky Valley Mistress are the first act of the event. The are from Blackburn which is 20minutes away from Preston. They play rock music and agreed to play for 30 minutes at the PLAY TO GIVE GIG.
Tales of Two Counties are second and come from Burnley which is 45 minutes drive to Preston. They play folk music and agreed to play for 30 minutes.
Red Nine and The Escobars both play rock music and both come from Preston and Red Nine agreed to play 30 mins and The Escobars 45 minutes because they were headlining the event. This was due to their following in Preston and are expected to attract a certain number of customers aged 18+.
Social Media was used to promote each band that was confirmed to play at the event. The Escobars, Red Nine and Tales of Two Counties all published, retweeted and reposted our event mentions and gave the event shout outs of them playing at PLAY TO GIVE on Tues 3rd December.
The event will run on Tuesday, 3rd of December, 2013 from 7.30pm until 11pm.
(The date was decided upon by the group depending on a day that all of us could attend. This affected what day members were wiling to do the event; as 4 members of the group live outside of Preston and commute by train. Thus making them subject to train times and delays as well. We factored in that a Monday, Tuesday, or Thursday would be ideal because we would have our lecturer attend and everyone would be in that day.
I think that if we had planned it on a Friday evening or weekend it would suit the Student demographic because students and others would be going out after work is finished for the weekend. But it was necessary, to a degree, to have the whole team at the event so they could do their role and evaluate the night at a later date).
It will be a ticketed event, either through purchase of a ticket prior to the event or also on the door if we do not fill to capacity on selling the tickets
(Emma was responsible for designing PLAY TO GIVE's branding and producing the ticket design for the gig. I was pleased with the background graphic that Emma used and myself and team encouraged her to make editorial decisions with listing our bands in sequence on the front with date and time as well. There was also a raffle ticket number section added to left hand side for raffle ticket numbers to be written on a customers purchased ticket. However, on the night we decided to stop that idea and just staple each raffle strip -which had five numbers on it- to the back of the actual ticket, and add the opposite strip to the raffle. We later had a meeting with lecturer Elena to show her the ticket design and she approved but suggested we pull together the look of both the poster and ticket because they looked to dissimilar and not part of the same event. This was due to two different people designing the poster and tickets. A solution would be to use elements of design in both parts. Like the graphics on the ticket could have been used on the poster( but they did make it look too busy) or to use the colour scheme of the graphical image ( colours were, midnight blue, dark purple, neon yellow, white and pink) on both posters, and tickets to pull them together and make them look like part of the same event.
The ticket was successful because it clearly used the font of the poster and tied in with the theme because of the playful graphics and eye catching colours as well as band listing, and using the same font. My only addition or change that could have improved the ticket for the event is too tie the graphical print in with the poster's background).
(The poster was designed by Emily who was responsible for helping Emma with brand design. The poster was edited by Elena and the feedback was to add information about the drinks offer, and improve the clarity of the Cash for kids logo. Emily did that and the poster came out looking good. But I would still have used colure that tied in with the ticket. As the poster included Navy blue, red and white and the font was the same as the ticket in white but red was not incorporated on the ticket and the graphic was not either. However, the poster was successful as it had the appropriate information about dates, time, location, social media links, hashtag, band listing and event logo design. And because the poster was put up on there own without ticket sales going on along side them it was not too confusing. I still believe that linking the tickets with the poster would give customers more identification of our event and recognition of the event when they saw the poster up at the venue to be able to locate where the event would take place).
(The tickets were printed Thursday, six days before the event and only four team members were present to take tickets to sell them over the weekend. I believe that the tickets were printed later than initially planned by the group. I made it known at a previous group meeting for ticket sales to begin at least 10 days before. This I thought would give customers enough time to consider attending the event and to schedule the date to remind themselves).
(The issue with only half of the group taking tickets away the weekend before the event was that it narrowed the reach of tickets sales that could have been done prior to the event. As team members have friends where they live they could have sold tickets to them. The team spoke on Facebook during that weekend to discuss ticket sales and the number of people we anticipated would attend. Most of us were anxious about not having a high number of customers. So an idea was raised that we should have a pre-sale of tickets on Monday before the event. To ensure that physical sales were carried out by all members of the team and to try and gain more customers from the university of Central Lancashire (Uclan). Which is an idea that may have benefited the pre ticket sales if done earlier).
(Thursday afternoon Katie, Clare.V, and I went around popular student areas on campus (E.g. Adelphi pub, source bar, the Atrium, Student Union, and Victoria Building..etc) to place posters on walls as a way of marketing the event in targeted locations bound to attract our student demographic).
(Monday between 12noon and 2pm, the team split into pairs and were delegated by our group leader, to locations on campus to sell tickets. Each pair were given 10 flyers (so three pairs equals a total of 30 flyers) to hand out to students who were not able to buy a ticket there and then, but would like to think about it, and may be welcome their friends to come. The latter was thought of by the group as we all agreed that as we are our demographic, students would not like to have people begging them to buy tickets in front of them. It is a bother. So handing them a flyer would give them the information about the event and let them decide on coming for themselves. Without hassle from us).
Post Event Evaluation
I have collected reading material from Elena's lectures and they include; the Arts Council's information describing how to self-evaluate and your actions. As well as reading the Event Planning Guide for Public Events from Preston Guild of 2012.
For my post event evaluation I will cover the following areas;
The pre event planning and success of the plan. If we carried it out accordingly
Event evaluation continued from the post before this
Post Event conclusion and evaluation of what I have learnt and if the learning outcomes were met from my view.
Event Plan & what happened on Tuesday 3rd Dec. Event Day.
All of my evaluation is in Italics
I spoke with Sarah from the Adelphi who said the venue can be accessible for us to set up and begin band and DJ sound checks from 15:00. The event would begin at 19:30
15:00 the team met at the media factory. We would be loading Noelle's seven seater car with the stage equipment.
Equipment was hired from the media factory hiring service. I negotiated with the team to organise what we needed for the bands. Amy and Emma contacted the bands and I contacted the DJ I sourced via social media (Uclan Students Union page). I asked Joni Beech our DJ for what equipment he could bring and for information on what extra equipment he would need to DJ at our event.
I was asked for a PA system, mixer and speakers. To be honest I had no idea what a PA system and mixer was.So I Googled it to learn what they were.
I began by informing the group on our Facebook group page. No one else knew what they were, so I emailed my contact, Sarah who worked at the Adelphi and booked Play To Give Gig's date for us. She informed me that that the Adelphi cannot supply us with a mixer or PA system. But we could use the speakers within the venue.
Emma had a housemate named Dan who could hire out the equipment we needed for the bands and sound system from the Media Factory. Equipment we hired all together was;
4 microphones and Mic stands
4 large speakers
1 PA system
1 mixing deck with phono input for Joni's Mac to connect to
15:30 - 18:30 Set up & Sound Check
We arrived at the Adelphi unloaded the car and began set up of the stage. We rearranged the tables and chairs within the venue because there were too many left out for the venue to host a gig within. A couple tables and chairs were stored in the storage room back of house. Having a storage room out of site, I think allowed us to make a home for the event to take place in. For it to look welcoming and structured the furniture so people could view the bands performing whilst sitting down, buying drinks from the bar or standing in front of the stage.
Set up of the stage equipment was done by Dan and members of Red Nine the band who arrived first at 17:00. Each band needed a drum kit to perform with. But instead of each band bringing their own Amy arranged for The Escobars to bring in theirs as they were headlining the event and the bands did not dislike using another drum kit. This agreement eliminated any issue of transporting or hiring a drum kit from else where. However The Escobars arrived with Tales of Two Counties at around 18:30 with their drum kit. Leaving only an hour for all three bands to do a sound check with their instruments before the Event was planned to begin at 19:30.
Joni Beech the DJ was also present to sound check his music.
Another issue was that Sky Valley Mistress who we planned to perform first out of the bands had not turned up for sound checks on time at 6pm. Amy began to panic a bit because she had no telephone number for the band. She did however email them to ask if they were coming at all to the event. By 7:30pm when the event had technically begun Sky Valley Mistress were still not present at the Adelphi.
By then Amy, Clare.V, and I began discussing an alternative plan B to implement if Sky Valley Mistress did not show up before 8pm as we had planned to begin with the first band at 8:10pm.
'They had replied to Amy's email by stating "not to worry, we do not usually do sound checks, we tend to plug in and play," which confirmed that they were on their way but did not settle our anxiety of thinking they would not arrive on time. So Amy, Clare.V and I planned to start the show on time with Tales of Two counties beginning the show and playing for 45 minutes instead of 30 minutes. Amy asked the band and they did not mind playing for longer.
At around 7:50pm Sky Valley Mistress arrived at the event. The band played at 8:10pm successfully, without any problems.
Above is my written on stage hosting plan. Clare.V had written out her words that we worked together to correspond with mine.
The hosting plan was as follows:
Welcome every body
Introduce PLAY TO GIVE - our mission is to raise funds for Cash for Kids charity and we have four bands performing tonight. List the bands in order.
Highlight that the donation buckets are located on the bar and on the ticket table. Welcome guests to add to the donation buckets.
Introduce to the stage 1st band= Sky Valley Mistress (from Blackburn)
At 9pm Raffle Prize Draw. Pick band members to draw the raffle tickets and hand out prizes to the prize winners
3rd Band= Red Nine (from Preston)
4th Band= The Escobars (from Preston)
Say thank you to Cash fro Kids especially Rose, Rock fm, DJ Joni Beech, and the Adelphi for facilitating PLAY TO GIVE
Say good bye & thanks for coming
8:10pm - 11:30pm Bands 'Play to Give' and raffle prize draw is done.
The bands were introduced on stage by myself and Clare.V. with Joni Beech to DJ in between bands. We hosted the event on stage. We had written out a plan for hosting the evening, we took it in turns to introduce the event to the audience, introduce bands, draw the raffle and give out the prizes; as well as close the event announcing the amount £175 raised for 'Cash for Kids'.
11:30pm - midnight Event Evaluation as guests leave, Bands pack away and we store away hired equipment to be delivered in the morning
A live evaluation was designed by Amy and asked of by Clare.V and I on stage for the guests to evaluate the event. Each ticket had a blank space at the back. We asked on stage and as people left the event to evaluate the event giving it a rating between 1 - 5. 5 = great, 1 = poor. We had sold a total of 32 tickets and received evaluations from 30 of those who bought tickets. Two people left early.
The results are as follows;
Evaluation designed by Noelle Brandwood, responsible of evaluation of the event.
Clare.V and I said thanks to Cash fro Kids,Rose who lead Cash fro Kids, the Adelphi for facilitating PLAY TO GIVE, each band, the raffle prize donators, and the customers who attended we sent them best wishes for raising £175 fro charity.
The bands packed down their equipment in an organised manner and the team thanked and congratulated each band for playing for Cash for Kids, and PLAY TO GIVE.
PLAY TO GIVE starts at 7:30pm
The team met up at 3pm outside the media factory to help transport the hired equipment. The speakers, PA system and mixer as well as microphone stands and microphones were driven in Noelle's car to the venue. We had help to lift everything upstairs.
When we arrived at 15:30 we began by organising the room arrangement. Chairs and tables needed moving to make the venue more inviting and suitable to host a gig showcasing live bands. We made sure most chairs and seats were facing the stage and that there was room at the base of the stage for fans watch bands standing up close.
We chose not to make the gig an all standing event so that people could enjoy the entertainment whilst sitting and staying a while. Encouraging them to buy a drink? As we had £1 shots on offer with all the mont going to Cash for Kids charity.
The event began at 19:30pm but customers did not begin arriving until about 20:15. So we decided to get the DJ playing music until there were more people.
By 18:00 three of the four bands had arrived and were doing their sound checks. The Escobars, Red Nine, and Tales of Two Counties were all on time. But Sky Valley Mistress our first performers were running very late. By 19:30 they had not arrived yet. So the team had a brief meeting to discuss a plan of action. We decided to email and Facebook message Sky Valley Mistress to find out where they were located and if they were alright and we planned to increase the time slot for Tales of Two Counties and let them begin the event for 45 mins.
However, Sky Valley Mistress arrived a little before 20:00. Securing their place to play first. When they arrived we allowed them to set up on stage and quickly do a sound check under neath Joni's DJ music.
The initial plan was back in action. Claire and I did the hosting for the entire evening from introducing the event to the audience and announcing the bands on stage to the Raffle prize draw and awarding the winners with prizes and closing the event with thank you's and good night.
Overall We ended the night raising a total of £134.48 for charity Cash for Kids, until Claire Boyle messaged the team with this before the end of the night.
"Hi guys tonight was awesome we all did amazing! The total was £134.48 & I asked my lovely mum to put in 52p to make it an even £135 but because she's so amazing she is going to donate £15.52 to give us a grand total of £150 WOOHOO!!!!! x"
Monday before the gig Pre sale of tickets
Monday the 2nd December the team met up in the studio to devise a marketing and ticket sales strategy.
We would sell tickets in pairs around the Uclan campus.
I went with Katie Kelly to sell tickets and put up flyers & posters in the Adelphi pub where the gig would be happening the following night. We also went to The library to target students at the entrance to the library building and promote the event to them there as well.
The team were able to put up 20 potters around campus. We targeted the victoria building (School of Art, Design, and Performance), The Adelphi (gig venue), the Student Union, Source bar, Harrington building, Media Factory.
We also marketed and promoted the event by creating a Facebook Page (https://www.facebook.com/PlayToGiveGig) and Twitter account with hashtag (#PlayToGivegig)
All four bands to play on the night are to be tweeted about and mentioned in Facebook posts. They have liked our page and are already mentioning us on their social media pages.
We also have Cash for Kids charity promote our event on their website as well as possibly having Rose and Nikki attending the event on Tues 3rd December.
Rockfm mentioned our event date and time and that our gig would be raising money for the Cash for Kids charity that they also support. They have mentioned Play To Give on live radio and offered a tour of the Rockfm studio for a Raffle Prize donation.
Other raffle prizes include:
